WE ARE HIRING – Executive Secretary Cum HR Administrator and Receptionist

Job Summary
We are seeking a proactive and organized HR Admin cum Secretary to support the Human Resources and Administration functions while providing secretarial assistance to the management. The ideal candidate will be responsible for HR operations, employee documentation, office administration, scheduling, and coordination with internal departments and external authorities.
Key Responsibilities
Secretarial Support
• Manage Management's calendar, appointments, and meeting schedules.
• Processing International Visa applications(e.g., USA, UK, Canada, South Korea, Japan, and Schengen) & all other travel related arrangements including flight & hotel bookings.
• Handle Registration/Membership to Conferences and other Business Events.
• Draft professional emails, letters, reports, and correspondence.
• Screen calls and visitors and handle confidential information with discretion.
Human Resources
• Maintain employee records and HR documents.
• Administer attendance & leave records.
• Assist in recruitment activities, including scheduling interviews and coordinating with candidates.
• Coordinate employee onboarding processes.
• Process visa applications, renewals, cancellations, Emirates ID, medical fitness appointments.
• Coordinate employee medical insurance enrolment, renewals, and claims.
• Support HR on any HR related works
• Maintain confidentiality of company and employee information.
• Ensure compliance with UAE Labour Law and company policies.
Administration
• Manage office administration and daily operational requirements.
• Maintain office supplies, stationery, and vendor coordination.
• Mange & coordinate with Company Drivers.
• Payment of Utility bills using Credit cards & keeping proper records of payments done
• Provide administrative support to management & staff and ensure smooth day-to-day office operations.
Qualifications
• 2–5 years of UAE experience in HR, Administration, or Executive Secretarial roles.
Skills
• Excellent written and verbal communication skills.
• Strong organizational and time management abilities.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Experience with HRMS/ERP systems is added advantage.
• Ability to multitask and prioritize work effectively.
• Strong interpersonal and coordination skills.
• High level of confidentiality and professionalism.
• Previous experience in HR administration, secretarial, or administrative roles
