Job Description

Role Overview

The Facilities Coordinator keeps every physical asset the business depends on — offices, the terminal, warehouses, utilities and other buildings — safe, functional and fit for the purpose it was built for. On a typical day this means scheduling maintenance, chasing contractors, verifying completed work, closing out compliance actions and reporting on spend against budget. The role matters because operational continuity, workplace safety and cost control all rest on facilities being managed proactively rather than reactively.

Key Responsibilities

  • Plan, schedule and oversee both planned and reactive maintenance across offices, terminal areas, warehouses and utility systems, making sure each asset remains safe and operational.
  • Keep the facilities asset register and maintenance history accurate, and follow up to ensure planned works are completed on time.
  • Run facility improvement work end to end, including repairs, renovations and office fit-outs, from scoping through to handover.
  • Supervise external contractors and service providers, checking their work against agreed service levels, verifying quality before certifying invoices, and conducting periodic performance reviews.
  • Work with Procurement to source, assess and onboard facilities contractors, ensuring strong service quality at the right cost.
  • Coordinate statutory inspections, licences and certifications, maintain the associated records, and monitor corrective actions arising from audits, risk assessments and safety inspections.
  • Monitor utility consumption and facilities expenditure against approved budgets, investigate variances and identify savings that do not compromise service delivery.
  • Prepare monthly management reports covering maintenance activity, contractor performance, administration services, key performance indicators and expenditure trends, with recommendations to support operational planning.
  • Support SHE initiatives by ensuring facilities-related risks are identified, escalated and mitigated, and that contractors on site comply with health, safety and environmental requirements.

Requirements & Qualifications

  • Education: Bachelor's degree in Facilities Management, Engineering, Contract Management, Operations Management or a related discipline.
  • Experience: At least eight (8) years in facilities management, property management or operations, including a minimum of two (2) years in a supervisory capacity.
  • Proven track record coordinating preventive and corrective maintenance, facilities projects and contractor performance across a site or portfolio.
  • Demonstrated budget ownership — preparing facilities and administration budgets, monitoring expenditure, forecasting and identifying cost optimisation opportunities.
  • Hands-on experience managing service providers, monitoring SLAs and enforcing contractor compliance with company standards.
  • Familiarity with statutory inspections, permits, certificates and workplace health and safety obligations, including following up on audit findings.
  • Strong analytical and reporting ability, with the capacity to interpret operational data and recommend continuous improvement measures.
  • Proficiency in Microsoft Office; experience with CMMS, ERP or other facilities management software is an advantage.
  • Desirable extras: certification in Project Management, Contract Management, Procurement or Vendor Management; training in Occupational Health & Safety, Fire Safety, First Aid or Emergency Response; prior exposure to manufacturing, FMCG, logistics or multi-site operating environments.
