Role Overview
This position anchors the front office of the Bank's Head Office, setting the tone for every visitor, caller and executive who passes through it. On a typical day you will greet and route high-profile guests, manage a busy switchboard, keep executive diaries and meeting rooms running on schedule, and keep visitor and correspondence records accurate and secure. The impression you create — calm, polished, discreet — directly shapes how customers, regulators and directors perceive the Bank, which is why sound judgement and airtight confidentiality matter as much as a warm welcome.
Key Responsibilities
- Own the executive reception area so it stays tidy, presentable and ready for guests at all times, and step in to cover other reception points when colleagues are away.
- Welcome directors, senior executives, regulators, customers and other VIP visitors, verify their identity and purpose, and direct them to the right contact while enforcing the Bank's access and visitor-registration rules.
- Operate the executive switchboard — answering, screening and transferring calls, handling routine questions without revealing confidential information, taking accurate messages and escalating anything urgent straight away.
- Support executive scheduling: confirm and reschedule appointments, check that meeting rooms are booked and set up, and notify all parties promptly when plans change.
- Carry out day-to-day administrative work for the executive office, including copying, scanning, filing, document preparation and logging incoming and outgoing correspondence that needs an executive's attention.
- Prepare meeting materials, refreshments and room requirements, and assist with travel, event and logistics arrangements when asked.
- Keep confidential material protected at every stage — storage, distribution and disposal — in line with the Bank's information security, data protection and confidentiality policies.
- Coordinate with Security, Facilities, Administration and Executive Assistants to keep the front office running smoothly, and help organise visits by official delegations, Board and management meetings, and corporate events.
Requirements & Qualifications
- A degree or diploma in Front Office Operations, Hospitality Management, Business Administration, Customer Service or a comparable discipline.
- At least five years in reception, front-office administration or customer service, ideally gained in a bank or financial institution and at an executive-office level.
- Solid grounding in office administration and customer service practice, with prior exposure to dealing with customers and visitors in a professional setting.
- Additional training in customer service, office administration or telephone etiquette is a plus.
- Confident use of Microsoft Office applications and standard office systems.
- Excellent spoken and written communication, a professional presence, and the confidence to engage senior executives and high-profile stakeholders.
- Strong organisational and time-management habits, close attention to detail, and the ability to stay composed when the pressure rises.
- Demonstrated integrity and discretion in handling sensitive information, plus sound judgement in deciding what to resolve and what to escalate.
- A customer-first mindset, and a willingness to take ownership of tasks, spot better ways of working and share knowledge with colleagues.
