Role Overview
This role supports procurement and logistics operations serving Trócaire’s Nairobi headquarters and field locations in Somalia. You will manage purchasing workflows, coordinate cross-border shipments, and help maintain reliable records for stock, assets, and vehicles so that programme teams can access the goods and services they need while organisational and donor requirements are met.
Key Responsibilities
- Register incoming requisitions, prepare RFQs, RFPs, and tenders, assess supplier submissions, and compile bid analyses with the required supporting documents for procurement committee review.
- Check supplier registration and eligibility, prepare purchase orders and contracts with clear specifications and terms, and track orders through delivery and acceptance.
- Monitor supplier performance, raise concerns and recommend corrective action, prepare complete payment requests, and maintain an auditable procurement record.
- Support local market reviews for frequently purchased items, compare local sourcing with imports from Kenya and other regional markets, and help maintain a vetted supplier list with signed supplier codes of conduct.
- Arrange transport and customs clearance for goods bound for Somalia, prepare border and import/export paperwork, and check that appropriate insurance is in place to protect goods in transit.
- Update asset and inventory records, support field stock tracking in PIMS, and keep Nairobi warehouse stock organised with the required receipt, issue, stock-card, and verification records.
- Help coordinate physical stock counts at headquarters and in field locations, and monitor Trócaire-owned and rented vehicles, including usage, servicing, fuel consumption, safety compliance, and rental agreements.
Requirements & Qualifications
- Bachelor’s degree in procurement, logistics, supply chain management, or a related equivalent qualification.
- Professional procurement or supply chain certification, such as CIPS, CHPP, CPSM, or an equivalent credential.
- At least three years of practical procurement and logistics experience; experience with an international NGO is preferred.
- Experience working in emergency response or fragile settings, with knowledge of donor compliance requirements and international procurement standards.
- Sound understanding of tendering, supplier assessment, procurement controls, and supply chain operations.
- Proficiency in procurement and inventory systems and Microsoft Office, particularly Excel, Word, and PowerPoint.
- Strong analytical, organisational, and record-keeping skills, with the ability to manage competing priorities and deadlines.
- Clear communication and interpersonal skills, confidence working with diverse teams, and willingness to travel frequently to field locations in Somalia.
- Fluency in written and spoken English. More than six months’ experience working with Trócaire is an advantage.
