Tracking Clerk

Role Overview

This role is the live nerve centre of a busy transport operation: you sit at the tracking desk watching every vehicle in the fleet move, and you are the first person to know when a truck drifts off route, stalls, speeds, or burns more fuel than it should. Working alongside the Logistics Planner and departmental heads, you turn raw GPS feeds into decisions — rerouting around a breakdown, flagging a driver for retraining, or proving where a delivery went wrong — so that goods reach customers as promised and the fleet runs lean. The operation's fuel bill, delivery reputation, and driver discipline all depend on how sharply and how quickly you read the screen in front of you.

Key Responsibilities

• Verify that every tracking unit on every vehicle is powered, transmitting, and correctly configured, escalating faults before they create blind spots in coverage.
• Watch fleet movements live on GPS and pull historical trip data when incidents, disputes, or insurance questions arise; compile and circulate incident reports.
• Log and analyse driver behaviour and vehicle usage — speed, distance covered, fuel consumed, mileage, routes taken, and unauthorised stops — and recommend changes to fleet deployment, usage patterns, or policy based on what the data shows.
• Support fleet scheduling, demand forecasting, and ongoing surveys of how vehicles and users are actually behaving versus plan.
• Enforce company driving and usage regulations, raising non-compliance with drivers and management rather than letting it slide.
• Detect on-road exceptions and emergencies in real time and coordinate with the Logistics Planner and security team on diversion routes and corrective action.
• Keep drivers, operations, and management in sync so consignments are delivered exactly as ordered and directed, and co-implement fleet policies and processes with the Logistics Planner and Head of Department.
• Drive the digitisation of fleet management — guarding against data loss or reporting delays and keeping fleet records accurate — and prepare vehicle-tracking management reports for the Logistics Planner.

Requirements & Qualifications

• Diploma or bachelor's degree in IT, electronics, operations management, or a closely related discipline.
• A further diploma or degree in procurement, supply chain and logistics, or data analysis.
• At least 2 years of hands-on tracking experience in the same industry, ideally within a large-scale fleet environment rather than a small single-depot setup.
• Working command of current electronic tracking platforms and a solid practical understanding of how vehicles operate.
• A valid Police Clearance Certificate — this is a mandatory condition of the role, not a preference.
• Security training from a military, police, or comparable background is a distinct advantage, as is at least 1 year of practical weighbridge operating experience.
• Sound judgement under pressure: balanced decision-making and the logistical awareness to anticipate operational risk before it materialises.
• Strong self-organisation — able to plan and execute with minimal supervision, manage upwards when required, and ask for help at the right moment.
• Clear, concise spoken and written communication, including the ability to give instructions unambiguously and handle confidential fleet and personnel information discreetly.
• Comfort with automation and computer-based systems, and the willingness to keep adopting new tools as the function modernises.
• Poise and courtesy when things go wrong — long shifts, emergencies, and difficult calls are part of the job.
