Role Overview
The Secretarial Studies Trainer will deliver hands-on, competency-based instruction that equips learners with the office, communication, and administrative skills employers expect. The role involves planning lessons around the TVET CDACC curriculum, assessing practical competence, and supporting learners as they build portfolios and prepare for workplace placement. By maintaining strong training and assessment records, the trainer helps the institution meet TVETA quality and certification standards while producing graduates who can perform confidently in modern office environments.
Key Responsibilities
- Deliver engaging theory and practical lessons in secretarial studies, covering office administration, business communication, records management, keyboarding, reception duties, and common office software applications.
- Prepare schemes of work, lesson plans, learning materials, and assessment tools that align with the TVET CDACC competency-based education and training approach.
- Facilitate simulated office tasks, role plays, and projects that help learners apply secretarial procedures in realistic workplace scenarios.
- Conduct formative and summative assessments, mark learner work, provide constructive feedback, and maintain accurate assessment records for CDACC and internal reporting.
- Guide learners on portfolio development, industrial attachment preparation, and readiness for competency assessments and employment.
- Monitor learner attendance, progress, and discipline, and offer academic and career mentorship where needed.
- Keep training content current by reviewing industry trends, office technologies, and employer expectations, and by collaborating with colleagues on curriculum improvement.
- Ensure training activities and records comply with TVETA quality assurance requirements and institutional policies.
Requirements & Qualifications
- Higher Diploma in Secretarial Studies or a closely related office administration/business qualification from a recognised institution.
- More than two years of experience training or instructing secretarial studies, office administration, or related business courses.
- Proven ability to train and assess the TVET CDACC curriculum, including competency-based lesson planning and practical assessment.
- Pedagogy certification and TVETA registration are added advantages.
- Strong practical knowledge of office procedures, business communication, records management, keyboarding, and standard office software.
- Effective classroom management, communication, and interpersonal skills, with the ability to engage diverse learners.
- Good organisational and record-keeping skills to manage lesson plans, assessments, and learner progress documentation.
