Position Title: Property Assistant

Direct Line Reporting: Property Manager

Industry Sector: Real Estate / Property Management

Gross Salary Structure: KShs. 30,000 - 45,000 + Commission

Location: Kenya

Role Overview

We are seeking a highly responsible, disciplined Property Assistant to support our daily residential property operations and estate management functions. Your primary focus will be to ensure timely revenue collection, maintain absolute facility order, and deliver professional communication between tenants and the management office. This position bridges active field execution with strict policy enforcement; you will manage properties throughout daily operation cycles, from welcoming new tenants and running property inspections to executing house lockouts for overdue accounts. The role demands an energetic, physically fit professional who can ride a motorbike seamlessly to handle multi-site operations.

Scope of Responsibilities

Rent Collection & Arrears Management

  • Systematically collect monthly rent payments from tenants and verify financial transactions against records.

  • Routinely follow up on overdue account balances, identify payment defaulters, and escalate risk reports to leadership.

  • Execute necessary house lockouts and recovery measures for chronically defaulting accounts following internal rules.

Tenant Relations & Site Inspections

  • Conduct regular, detailed property walkthroughs to check structural safety and document repair issues.

  • Issue formal written notices to tenants including payment reminders, rule warnings, or legal eviction notifications.

  • Mediate minor tenant disputes professionally to maintain a peaceful, orderly living environment across the properties.

Move-In & Move-Out Management

  • Guide new tenants through onboarding loops, making sure lease agreements are signed and rules are understood.

  • Conduct exhaustive structural move-out inspections when tenants vacate units to assess property damages.

  • Verify security deposit calculations, track final utility bills, and ensure compliance before authorizing refunds.

Facility Security & Operational Reports

  • Coordinate closely with onsite security teams to protect premises and prevent unauthorized access to vacant units.

  • Draft precise daily logs detailing rent collection metrics, building status updates, and tenant movement.

  • Liaise directly with repair contractors to supervise routine building maintenance and restoration work.

Qualifications & Prerequisites

Minimum Requirements

  • Education: Minimum of a professional Certificate in any business, technical, or relevant operational discipline.

  • Experience Level: Entry-level position; requiring no previous experience up to less than 1 year of commercial work history.

  • Technical Skills: Fully licensed and highly skilled in Motorbike riding for daily field mobility.

  • Language & Hours: Complete professional fluency in spoken and written English. Ability to work standard contract timelines from 8:00 AM to 5:00 PM.
