Job Description

Role Overview

This position keeps the day-to-day engine of the office running while acting as the first line of defence for regulatory compliance. You will split your time between practical administrative coordination — supplies, vendors, records, service schedules — and the disciplined tracking of statutory obligations owed to the Retirement Benefits Authority. Because the organisation operates in a regulated pension environment, your accuracy in filing, record-keeping and deadline management directly protects the firm's licence to operate and its standing with clients and regulators.

Key Responsibilities

  • Run daily office operations end to end, making sure administrative support reaches every department without bottlenecks and that service levels stay consistent.
  • Prepare, review and submit regulatory returns, statutory documentation and compliance reports to the Retirement Benefits Authority and other oversight bodies within the required timeframes.
  • Own the compliance and regulatory calendar, tracking every statutory deadline and flagging upcoming obligations before they become urgent.
  • Support internal compliance reviews and audits by assembling documentation, responding to queries and closing out findings.
  • Keep regulatory correspondence, licences, statutory filings, client records and scheme files accurate, current and retrievable.
  • Assist with client onboarding, including collection of required information, and coordinate timely responses to regulatory or client enquiries.
  • Handle procurement of office supplies and services, manage vendor relationships and monitor service agreements, renewals and related administrative tasks.
  • Champion adherence to the Retirement Benefits Act, RBA Regulations and internal governance standards across routine administrative work.

Requirements & Qualifications

  • Bachelor's degree in Business Administration, Commerce, Public Administration, Finance or a comparable discipline.
  • At least 2 years of relevant experience in office administration, corporate administration, governance support, pension administration or compliance — ideally gained inside a regulated organisation.
  • Working knowledge of the Retirement Benefits Act, RBA Regulations and retirement benefits schemes; hands-on pension or retirement benefits administration experience is a distinct advantage.
  • Professional certification in progress or completed — CIFA Part I, CPA Part I, or CISI Regulations and Market Practice — is an added advantage.
  • Strong organisational and records management skills, with the ability to maintain precise documentation and never let a compliance deadline slip.
  • Clear written and verbal communication for dealing with regulators, vendors and internal stakeholders.
  • Discretion and integrity when handling confidential scheme, client and corporate information.
