Role Overview
This position keeps the organisation moving — literally. The driver is entrusted with getting staff, visitors, consultants and programme materials to field sites, partner offices and official engagements safely and on schedule, while keeping every assigned vehicle roadworthy, compliant and properly documented. Because transport sits at the centre of programme delivery and donor accountability, the role directly affects how reliably and credibly the organisation operates in the communities it serves.
Key Responsibilities
- Drive safely and defensively at all times. Operate assigned vehicles in line with national traffic law and internal transport policy, apply defensive driving techniques, maintain constant situational awareness, and protect the safety of every authorised passenger and every item carried.
- Follow journey management procedures. Observe travel approval, route planning and duty-of-care requirements on each assignment, including long-distance and rural trips, and adapt to changing road, weather and security conditions.
- Keep vehicles clean, serviced and roadworthy. Carry out daily pre-trip and post-trip inspections, flag defects without delay, and coordinate scheduled servicing and repairs with the transport or administration unit.
- Monitor fuel and vehicle use. Track fuel consumption, account for usage in line with organisational policy, and ensure assigned vehicles are used only for approved purposes.
- Maintain accurate transport records. Update logbooks with mileage, trips, destinations and fuel data, submit monthly vehicle reports on time, and keep documentation complete enough to withstand donor and audit scrutiny.
- Report incidents immediately. Escalate accidents, near misses, security concerns and mechanical faults to management through the correct channels as soon as they occur.
- Provide administrative and logistical backup. Handle photocopying, filing, scanning and document delivery; move correspondence, parcels and supplies between offices and partners; and support field logistics such as distribution of programme materials.
- Uphold safeguarding and conduct standards. Complete all mandatory safety, safeguarding and driver training, protect vulnerable people in line with organisational policy, and always act with integrity, confidentiality and professionalism.
Requirements & Qualifications
- Minimum KCSE grade D+ or an equivalent secondary education qualification.
- Valid driving licence covering Classes B, C and E (or equivalent).
- Valid AA Driving Certificate or a comparable defensive driving certification.
- Valid Police Clearance Certificate.
- At least four years of professional driving experience, ideally gained with an NGO, donor-funded programme or corporate fleet operation.
- Confident knowledge of Kenyan road networks, particularly field and rural routes, with the ability to plan safe and efficient journeys.
- Solid grasp of road safety regulations and defensive driving practice.
- Competence driving both manual and automatic transmission vehicles.
- Meticulous approach to logbooks, fuel records and other transport documentation.
- Strong interpersonal and communication skills, with a courteous, service-minded attitude toward all passengers and stakeholders.
- Composure and discipline under pressure, including during long-distance travel and emergency situations.
- Demonstrated reliability, accountability and personal integrity in handling organisational resources.
