Role Overview
You will act as the primary operational link between the safari company and its international clients, handling every stage of a booking from the first enquiry to post-trip follow-up. Your daily focus is on delivering a seamless, personalised travel experience while keeping the agency’s commercial targets on track through proactive sales support and efficient administration.
Key Responsibilities
- Respond promptly to client enquiries received through WhatsApp, email, and phone calls, converting them into confirmed bookings and managing payment processes.
- Build detailed day-by-day itineraries that accurately reflect each traveller's requests, selected lodges, transfers, and activities.
- Issue precise invoices for all confirmed reservations and proactively follow up on outstanding payments to maintain healthy cash flow.
- Collect structured feedback after each safari, investigate any complaints, and take corrective action to protect the company's reputation.
- Keep clients informed of any schedule, accommodation, or service changes before departure and throughout the trip, ensuring no surprises.
- Anticipate and resolve problems early, whether they involve logistics, supplier issues, or client expectations, so that every journey runs smoothly.
- Contribute directly to weekly and monthly sales revenue by identifying upselling opportunities and maintaining strong conversion rates.
Requirements & Qualifications
- Diploma or degree in Tour Administration, Tour Consulting, Tourism Management, Hotel Management, or Hospitality.
- At least three years of professional experience in the travel sector, specifically within tour consulting or hotel operations.
- Excellent written and verbal communication skills, particularly when dealing with English-speaking clients from international markets.
- Demonstrated success in selling East African destinations, particularly Kenya, Uganda, and Tanzania.
- Strong capacity to manage multiple client requests simultaneously without losing attention to detail.
- Exceptional organisational skills and the ability to meet tight deadlines in a fast-paced environment.
- Flexibility to work irregular hours when client needs or trip schedules require it.
