Role Overview
PS Kenya is recruiting a grants and compliance professional to manage the financial lifecycle of sub-awards and ensure donor resources are used responsibly. The role works across budgeting, subrecipient monitoring, audit follow-up, and capacity building, making it central to keeping awards compliant and well documented. This position matters because it strengthens the financial systems that partners and program teams rely on to deliver results on time and within donor rules.
Key Responsibilities
- Oversee subrecipient financial management, including budget preparation, internal control reviews, and adherence to donor and organizational compliance requirements.
- Build, review, and revise proposal budgets, award budgets, and budget realignments to confirm they meet donor cost principles and reporting rules.
- Administer sub-awards across the full cycle: eligibility and due diligence checks, negotiation, approval, payment processing, monitoring, and closeout.
- Examine subrecipient financial reports, invoices, and advance requests; reconcile transactions; and resolve discrepancies or missing documentation.
- Implement financial monitoring plans and track subrecipient spending against approved budgets, flagging risks and recommending corrective steps.
- Maintain grant records and follow up on audit findings, corrective action plans, and compliance deadlines to keep files audit-ready.
- Deliver training and technical assistance that helps subrecipients improve their grants management, financial reporting, and internal controls.
- Coordinate with program, finance, and compliance colleagues to ensure sub-award processes are timely, accurate, and consistent.
Requirements & Qualifications
- Bachelor's degree in finance, accounting, business administration, economics, or a related field; a professional qualification such as CPA, ACCA, CIA, or equivalent is an advantage.
- At least five years of relevant experience in grants management, sub-award administration, budgeting, and compliance, preferably within an NGO or donor-funded environment.
- Working knowledge of international donor regulations, cost principles, and sub-award lifecycle requirements.
- Experience reviewing budgets, financial reports, invoices, and advance requests, and monitoring subrecipient finances.
- Understanding of internal controls, audit processes, and corrective action tracking.
- Proficiency with accounting or financial management systems and advanced spreadsheet skills; familiarity with grants management software is a plus.
- Strong analytical, organizational, and problem-solving abilities, with the capacity to manage multiple deadlines and competing priorities.
- Clear written and verbal communication skills and the ability to train, advise, and build capacity among diverse partners.
