Role Overview
This Procurement Officer role is responsible for the end-to-end coordination of international purchases and the customs clearance process in Kenya. You will be the linchpin between overseas suppliers, freight partners, and internal stakeholders, ensuring that every shipment arrives on time and that all import documentation stands up to regulatory scrutiny. By keeping duty remission records, customs entries, and shipping paperwork accurate and current, you help the organisation avoid costly delays, penalties, and audit issues.
Key Responsibilities
- Coordinate international purchase orders, proforma invoices, shipment schedules, and ongoing supplier communications to keep import timelines on track.
- Scrutinise commercial invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin, and related shipping documents to catch discrepancies before they cause delays.
- Prepare and manage Import Declaration Forms, import permits, and other pre-shipment and customs clearance documentation required by Kenyan regulators.
- Administer Duty Remission Scheme paperwork, including approvals, utilisation tracking, reconciliations, and closure records.
- Liaise with clearing agents, freight forwarders, shipping lines, transporters, suppliers, and internal departments to align on shipment status and resolve issues.
- Monitor customs entries, duties, taxes, exemptions, bonds, and outstanding Kenya Revenue Authority matters, while tracking clearing, freight, port, and transport costs to prevent demurrage, detention, and storage charges.
- Track shipments end-to-end and provide timely updates on expected departure and arrival dates, clearance status, delays, and final delivery dates.
- Maintain complete, audit-ready import records for Kenya Revenue Authority, Authorised Economic Operator, and post-clearance audits.
Requirements & Qualifications
- Diploma or degree in Procurement, Supply Chain Management, Logistics, International Trade, or a related discipline.
- At least three years of hands-on experience in procurement, imports, and customs clearance within Kenya.
- In-depth familiarity with the Duty Remission Scheme, Kenya Revenue Authority customs processes, Import Declaration Forms, customs entries, and import documentation.
- Proven experience collaborating with clearing agents, freight forwarders, shipping lines, and regulatory authorities.
- Comfort with International Commercial Terms (Incoterms), typical import lead times, and shipping documentation.
- Proficiency with enterprise resource planning (ERP) systems, Microsoft Excel, and other Microsoft Office applications.
- Strong attention to detail, record management, communication, and follow-up skills.
- Experience in the chemical, agricultural, or another regulated industry is an added advantage.
