Role Overview
As a Sales Support Assistant, you will be the operational backbone of the sales team, keeping quotations, orders, invoices and customer records moving accurately and on time. Working closely with account managers and internal departments, you will make sure every customer enquiry gets a timely response and every order is tracked from confirmation through to after-sales follow-up. This role suits someone who enjoys variety, takes ownership of administrative detail, and wants a practical entry point into a sales career.
Key Responsibilities
- Provide day-to-day administrative support to the sales team, including follow-up on open customer enquiries, pending quotations and outstanding orders.
- Prepare and issue quotations, sales orders and invoices, checking pricing, quantities and customer details before release.
- Compile routine sales reports and summaries, such as order status updates, activity logs and basic sales performance figures.
- Create and maintain customer files and records, keeping contact details, transaction history and supporting documents accurate and current.
- Act as a first point of contact for customer calls, emails and messages, answering routine questions and routing technical or commercial matters to the right person.
- Liaise with internal teams — including warehouse, logistics, accounts and purchasing — to confirm stock, delivery schedules and payment status.
- Support communication with dealers and distributors, assisting with order coordination and after-sales matters such as returns, replacements or service requests.
- Carry out other sales administration duties as directed by the sales team or management.
Requirements & Qualifications
- No previous work experience required — fresh graduates and entry-level candidates are encouraged to apply.
- Comfortable using computers and common office software, particularly Microsoft Word, Excel and email.
- Clear written and verbal communication skills, with the confidence to deal with customers and colleagues at all levels.
- Well organised and detail-oriented, with the ability to keep records and paperwork accurate under routine deadlines.
- Responsible, reliable and willing to learn; able to pick up new systems and processes with guidance.
- Basic English communication skills. Candidates who also speak Chinese are at an advantage.
- Diploma or Bachelor's degree preferred, though it is not mandatory — practical aptitude and attitude matter more.
