Role Overview
This position leads the operational backbone of the regional business, overseeing property management, licensing and compliance, physical security, the company vehicle fleet, procurement, capital expenditure forecasting, and cross-functional projects. You will manage a team handling administration and support services, working closely with department heads to hit performance targets while keeping a customer-focused mindset. Daily work involves a mix of strategic planning, hands-on problem solving, vendor and landlord negotiations, and frequent travel across the region to ensure every site operates efficiently and safely.
Key Responsibilities
- Directly manage and develop the support services and administration team, including hiring, training, objective setting, and regular one-on-one reviews to maintain high engagement and clear accountability.
- Oversee all regional properties: manage contracts, renewals, licensing, registrations, maintenance, repairs, cleanliness, and coordinate searches for new premises along with landlord negotiations.
- Lead non-financial licensing and regulatory compliance, ensuring all certifications, data protection requirements, and governmental approvals are current across every location.
- Design and implement security strategies, manage the security budget, track expenses, and maintain strong relationships with local authorities and third-party security contractors while proactively addressing potential risks.
- Supervise the full vehicle fleet lifecycle, from purchasing and policy enforcement to licence renewals, insurance renewals, maintenance cost control, database updates, and disposal of used vehicles.
- Prepare and present monthly capital expenditure forecasts, meet with business managers to assess asset needs and risks, and identify cost-saving opportunities for the Finance Director and Managing Director.
- Control procurement processes by verifying vendor due diligence, reviewing supplier rates and payment terms annually, and minimising spend on stationery, phone lines, fuel, maintenance, travel, and property costs.
- Plan and drive organisational projects from concept through completion, coordinating people and processes to deliver on time, within budget, and in line with desired outcomes.
Requirements & Qualifications
- Bachelor’s Degree in Business Administration or a closely related field is required.
- At least 5 years of experience in a fast-paced administrative or operations environment, including 2+ years in a supervisory or management role.
- Strong financial acumen, with demonstrated ability to handle capital expenditure forecasting, expense monitoring, and aging reports.
- Advanced project management and time management skills, especially when working under high-pressure conditions with competing deadlines.
- Proven leadership capability, strategic planning experience, and success in building cross-functional teams.
- A proactive communication style—comfortable overcommunicating to align teams—coupled with strong analytical problem-solving skills to resolve operational and financial bottlenecks quickly.
- High attention to detail and adaptability, with a track record of accuracy while thriving in changing environments.
