Job Summary
An Automotive Garage is seeking a highly organized and experienced Operations Officer to oversee daily operations across its three automotive service branches in Nairobi. The successful candidate will be responsible for branch performance, staff supervision, operational efficiency, inventory control, and customer satisfaction, while also supporting basic HR coordination and marketing initiatives.
This role requires strong operational leadership experience in automotive service centers, garages, tyre centers, or similar technical environments.
Key Responsibilities
Branch Operations Management

Oversee daily operations of all three branches.

Monitor branch performance and ensure operational efficiency.

Identify operational challenges and implement corrective solutions.

Ensure company procedures and service standards are followed across all branches.
Staff Supervision
-
Supervise Sales Administrators, Team Leaders, and Tyre Technicians.

Coordinate staff schedules and branch assignments.
-
Address staff operational issues and escalate HR matters to management.
-
Ensure productivity, discipline, and accountability across branches.
Staff Performance & KPIs
-
Develop and monitor monthly Key Performance Indicators (KPIs) for Sales Administrators, Team Leaders, and Technicians.

Track staff performance against assigned targets.

Conduct monthly performance reviews and provide feedback to staff.

Submit monthly KPI reports to the Director.
Staff Leave Management
-
Manage and track staff leave days and leave schedules.
-
Ensure adequate staffing levels across all branches during leave periods.

Maintain proper documentation of staff leave approvals and records.
Sales Targets & Performance Monitoring

Develop and distribute sales targets for each branch.

Monitor branch performance against targets.
-
Prepare and submit operational performance reports to the Director.

Support branches in improving sales and service delivery.
Customer Relationship Management
-
Oversee management of corporate and walk‑in customers.
-
Resolve escalated customer complaints.
-
Maintain professional communication with key customers.
-
Ensure excellent customer service standards across all branches.
Supplier Coordination
-
Manage relationships with tyre, parts, and service suppliers.
-
Coordinate orders, deliveries, and supply arrangements.
-
Monitor supplier performance and pricing.
-
Liaise with finance regarding supplier payments when necessary.
Inventory & Merchandise Management

Oversee stock levels across branches.

Ensure accurate inventory tracking.
-
Coordinate stock transfers between branches.
-
Monitor merchandise ordering and deliveries.
Systems & Reporting

Manage operational data using company systems such as:

ERP Next
-
Wave System
-
Other operational tools
-

Maintain accurate operational records and reports.
-
Ensure proper documentation of sales and inventory information.
Communication Management

Oversee operational communication channels including:

Internal staff coordination groups
-
Supplier and customer coordination groups
-

Ensure proper communication flow between branches and management.
Operational Projects

Monitor ongoing operational initiatives and improvements.

Track deadlines and ensure project completion.

Provide progress updates to the Director.
Coordination with Finance
-
Coordinate operational payments and supplier commitments with the finance department.
-
Ensure proper documentation of operational expenses.
Additional Responsibilities
-
Support basic HR coordination such as staff discipline, leave tracking, and reporting.

Support marketing initiatives to promote branch services and attract customers.
-
Assist management in improving operational efficiency and branch growth.
Qualifications & Experience
-
Degree in Business Administration.
-
Diploma in Human Resources is an added advantage.
-
4–6 years’ experience in operations management, preferably in automotive garages, tyre centers, or service workshops.

Strong leadership and team management skills.
-
Excellent organizational and problem‑solving abilities.
-
Basic understanding of marketing and customer acquisition.
-
Experience managing multiple branches.
-
Experience in inventory and supply coordination, reporting, analytics, problem solving, and decision making.
