Role Overview
This position keeps the sales and marketing desk running smoothly behind the scenes, acting as the first point of contact for callers, leads and guests while giving Sales Executives the organised information they need to sell. Day to day you will juggle inbound enquiries, lead distribution, package and tour promotions, and the record-keeping that keeps campaigns accurate. The role matters because every lead routed correctly, every guest question answered well, and every spreadsheet kept clean translates directly into revenue and repeat loyalty for the property.
Key Responsibilities
- Keep internal communication current by refreshing notice boards and team updates so colleagues stay informed about promotions, events and sales priorities.
- Serve as the initial voice and face of the sales team — answering calls and emails, troubleshooting guest requests, and escalating to the right person or department until the issue is fully resolved.
- Allocate incoming lead calls and emails to Sales Executives using a fair line rotation so opportunities are shared evenly across the team.
- Build and maintain spreadsheets and trackers for sales and marketing activity, including mailing lists, property tours and outreach campaigns.
- Enter, retrieve, reconcile and verify data inside the sales software, catching discrepancies before they affect the guest or the booking record.
- Coach and guide colleagues who are struggling with their duties, for example by helping them lift low preview-package sales numbers.
- Use consultative selling and up-selling to grow revenue without eroding guest loyalty, encouraging callers to book preview packages or tours and confidently answering questions about the property's facilities and services.
- Champion brand standards internally and externally, act as a first point of contact for the fair-treatment and open-door process, report accidents, injuries or unsafe conditions to the manager, and uphold appearance, uniform, asset-protection and policy requirements.
Requirements & Qualifications
- Certificate or diploma in event management, food and beverage, sales and marketing, or a closely related discipline.
- At least one year of related work experience, ideally within a hotel or luxury service environment; five-star property experience is highly desirable.
- Clear, professional spoken and written communication, including polished telephone etiquette and the ability to prepare and review written documents accurately and in full.
- Comfort working in sales or CRM software for data entry, retrieval and reconciliation, plus solid spreadsheet skills for tracking lists and campaign information.
- Ability to read and visually verify information across a range of formats and systems.
- Physical capability to move, lift, carry, push, pull and place objects weighing up to 10 pounds without assistance.
- Strong service instincts: anticipating guest needs, assisting individuals with disabilities, and thanking guests with genuine warmth.
- A collaborative, dependable approach — building positive working relationships, following company policy and procedures, and proactively recommending improvements that raise organisational quality.
