Role Overview

This role keeps AGL’s sugar import programme for Czarnikow moving from origin booking through Mombasa Port, customs clearance, warehousing, and final delivery to clients in Kenya and Uganda. The person in this position owns the daily operational rhythm: chasing documents, funding duties, tracking containers, maintaining stock records, and making sure invoices and payments reconcile against agreed rates. It matters because delays, missed approvals, or inaccurate stock reporting can trigger penalties, tie up cargo, and weaken the service Czarnikow provides to its customers.

Key Responsibilities

• Act as the operational link between AGL and Czarnikow, booking expected shipments from various origins to Mombasa and tracking each file from proforma invoice through to final delivery.
• Manage shipping documentation and approvals: file IDF applications, submit C60/EGPSP applications to Treasury, follow up on sugar permits, chase inspection bodies for conformity certification, and verify that all required shipping documents are in order.
• Initiate and drive customs clearance as soon as documents are received, calculate duty estimates, request funds from Czarnikow London, ensure duties and taxes are paid promptly, and update clients and Czarnikow daily to prevent penalties.
• Monitor containers from port discharge to warehouse, ensuring prompt stripping, return of empties to stack, and efficient delivery of sugar from warehouses.
• Maintain stock records for all Kenya and Uganda warehouses, produce weekly stock reports, reconcile stock balances with Czarnikow, and flag low stock levels.
• Follow sugar deliveries to clients, keep clients informed of movements and clearance progress, and maintain accurate records of all agreed rates.
• Raise invoices based on agreed rates, submit them to Czarnikow Finance for payment, follow up approvals, and match off payments received on account for local and transit invoices.
• Track changes in government policies and regulations affecting sugar importation and advise Czarnikow of any impact on shipments or clearance.

Requirements & Qualifications

• At least eight years’ experience in shipping and logistics, ideally with exposure to import clearance, freight forwarding, warehousing, or commodity distribution.
• Practical knowledge of Kenyan and Ugandan import processes, including IDF, C60/EGPSP, conformity certification, sugar permits, and customs duty calculations.
• Strong coordination skills across multiple parties: shipping lines, inspection bodies, clearing agents, warehouse teams, transport providers, clients, and finance departments.
• Ability to manage documentation with high accuracy and keep shipment files, stock records, rate agreements, and payment reconciliations audit-ready.
• Comfort with daily follow-up, deadline pressure, and penalty-sensitive environments; able to chase approvals and payments without letting details slip.
• Clear written and verbal communication for daily updates to clients and Czarnikow, including escalation of policy changes or stock risks.
