Role Overview
This role sits at the intersection of operations and compliance, handling the daily rhythm of contract administration, procurement coordination, and financial record‑keeping. You’ll be the central point for tracking agreements, renewals, and billing cycles, ensuring that internal teams and external clients stay aligned on terms, deadlines, and documentation. The work directly supports the company’s ability to execute projects, maintain client relationships, and remain audit‑ready without administrative friction.
Key Responsibilities
- Maintain and update financial records, ensuring accuracy and alignment with internal policies.
- Draft and review contracts—including NDAs, joint venture agreements, sales agreements, and lease/AMC contracts—while tracking renewal dates and compliance with terms.
- Manage a centralised database of clients, warranties, AMCs, and lease agreements, coordinating with internal teams to enforce contract clauses on support calls, preventive maintenance, invoicing, and payment terms.
- Follow up on procurement requests to ensure timely purchases and dispatch of client orders, working with support and project teams to track LPO (Local Purchase Order) fulfillment and job card submissions.
- Monitor open LPOs and prepare monthly reports with required follow‑up actions, coordinating preventive maintenance (PM) follow‑ups with the support team to guarantee accurate and timely AMC billing.
- Handle client inquiries related to contract issues, manage the BDT system for tracking contracts, LPOs, warranties, and billing cycles, and assist in issuing QSYS licenses per agreed terms.
- Coordinate VMS SMS bundle recharges from quote approval through billing, support team claim approvals and reimbursement follow‑ups, and facilitate new client creation in Zoho Desk for task allocation.
- Track project handovers, set up warranties in the system, monitor proof‑of‑concept (POC) items and follow up with the sales team for closure, and maintain organised physical and digital records of contracts, LPOs, invoices, job cards, and handover documents.
Requirements & Qualifications
- Bachelor’s degree in Finance, Accounting, Economics, or a closely related field.
- 2–3 years of prior work experience (including internships) in finance, accounting, operations, compliance, or contract management.
- Excellent written and verbal communication skills, with the ability to liaise clearly across teams and with external clients.
- Strong analytical and problem‑solving mindset, able to identify issues in contracts, billing, and processes.
- High attention to detail and accuracy when handling financial data, contract terms, and multiple deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with a financial software tool is a plus.
- Solid understanding of basic financial principles and contract management processes.
- Ability to work both independently and collaboratively in a team environment, demonstrating professionalism and interpersonal skills.
- Time management skills to juggle varied tasks—from procurement follow‑ups to reporting—without losing track of priorities.
