Job Description

Real Estate Office Administrator

We are seeking a highly organized and efficient Office Administrator to support our daily administrative operations. This role is essential in ensuring the smooth functioning of our office, managing documentation, and assisting with general office tasks. The ideal candidate will possess excellent organizational skills, a proactive attitude, and the ability to manage multiple tasks simultaneously. Real Estate office administration experience is a must.

Key Responsibilities

  • Oversee daily office operations and maintain an organized workspace.
  • Manage office supplies, inventory, and equipment; coordinate with vendors for procurement.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Maintain organized filing systems for contracts, invoices, and company records.
  • Assist in preparing reports, presentations, and correspondence for management.
  • Schedule meetings, appointments, and coordinate travel arrangements for team members.
  • Provide general administrative support to all departments.
  • Ensure compliance with company policies and local regulations in office operations.
  • Manage office-related invoices and coordinate with the finance team for payments.
  • Assist in the onboarding process for new hires, including workspace setup and orientation.

Qualifications

  • Minimum 2 years of experience as an Office Admin or Office Assistant, preferably in real estate.
  • Strong knowledge of office management procedures and systems.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills in English (spoken and written); additional languages are a plus.
  • Exceptional organizational and multitasking skills.
  • Ability to work independently and handle confidential information.
