Job Description

Role Overview

This position is the organisational backbone of the office, managing day-to-day administrative workflows so that teams can focus on core operations. You will handle everything from visitor reception and correspondence to supply replenishment and meeting scheduling, ensuring the workplace runs efficiently and professionally.

Key Responsibilities

  • Coordinate daily office activities including reception, phone handling, and directing visitors to the appropriate staff.
  • Manage physical and digital records, files, and documentation, maintaining accuracy and confidentiality.
  • Oversee incoming and outgoing correspondence, including post, couriers, and internal communications.
  • Monitor office supplies, initiate replenishment orders, and support procurement and inventory tracking.
  • Prepare reports, letters, and administrative documents; schedule meetings and maintain team calendars.
  • Arrange travel and transport for staff, and coordinate logistics for operational needs.
  • Support HR and payroll administrative tasks, including maintaining personnel records and processing related documentation.
  • Liaise with suppliers, service providers, and building maintenance teams to keep the office functional and organised.

Requirements & Qualifications

  • Diploma in Business Administration or a related field (degree preferred).
  • Minimum two years of experience in office administration or administrative support roles.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Demonstrated skills in records management, document preparation, and inventory control.
  • Excellent communication, time management, and organisational abilities.
  • Proven attention to detail, professional integrity, and the capacity to multitask in a fast-paced environment.
  • Experience with procurement support and basic problem-solving within an office setting.
  • Team collaboration skills and the ability to handle confidential information responsibly.
