Role Overview
This role keeps the hotel’s marketing office running smoothly by handling the essential administrative, financial, and coordination work behind every campaign and communication. You will be the central point of contact for vendors, internal departments, and agency partners, making sure that schedules, invoices, collateral, and digital content all stay on track and consistent with the brand’s image.
Key Responsibilities
- Deliver day-to-day administrative support to the marketing team, including organizing appointments, managing phone calls, handling correspondence, and keeping both digital and physical filing systems in order.
- Process financial documents such as purchase orders and expense claims, review and track all agency and vendor invoices, and act as the main contact for billing-related questions.
- Assist in creating and rolling out marketing activities—print collateral, promotions, packages, advertising, and content shoots—while ensuring every piece follows corporate identity guidelines.
- Own the maintenance of hotel listings across online and offline media, update third-party websites with current photography and information, and support the social media calendar with content creation, editing, and posting.
- Run regular competitive checks and benchmarking, then compile insights for presentations, marketing plans, and budget updates under the guidance of the Marketing Manager or Director of Sales & Marketing.
- Arrange and coordinate site inspections as well as photo and video shoots by external parties, including managing picture storage and distribution through systems like Picture Park.
- Keep guest databases updated for direct mailings, build lists for both online and offline campaigns, and collaborate with the F&B department to promote outlets through integrated marketing efforts.
- Support the development of the hotel’s marketing budget by periodically updating figures, attend marketing-related meetings, and stay informed about all hotel activities, promotions, and rates to ensure accurate messaging.
Requirements & Qualifications
- Bachelor’s degree in hospitality, communications, marketing, or a related field.
- At least 2 years of experience in a similar marketing support or coordination role, ideally within a hotel or hospitality setting.
- Excellent written and spoken English communication skills.
- Solid understanding of core marketing principles, as well as graphic and print production terminology.
- Strong proficiency in Microsoft Office applications.
- Familiarity with creative tools such as Photoshop or InDesign is a plus.
