Role Overview
This inventory operations position is the control point for every physical unit moving through our Nairobi and Mombasa locations. Day to day, you'll verify incoming deliveries against purchase orders, log serialised items into Microsoft Dynamics 365, coordinate outbound dispatches and transfers, and reconcile stock records across our ERP and Zoho CRM. Your accuracy keeps inventory at a 99% or better match rate, prevents costly discrepancies, and ensures finance has clean, audit-ready data for monthly reporting.
Key Responsibilities
- Check and accept all inbound deliveries from OEMs by physically counting units, validating serial and chassis numbers against purchase orders and delivery notes, and recording every item in D365 immediately.
- Process outbound stock movements, including interbranch transfers, returns, and adjustments, while producing accurate transfer notes, dispatch confirmations, and delivery paperwork in line with company procedure.
- Keep inventory records synchronised in real time across D365 and Zoho CRM, targeting a minimum stock accuracy of 99% through disciplined transaction logging.
- Run regular cycle counts, support the monthly full stocktake, submit variance reports within agreed SLAs, and investigate recurring discrepancies to identify root causes and corrective actions.
- Manage the full returns and refurbishment flow for batteries and other units, from receiving and condition assessment through quality checks and re-entry into sellable stock.
- Administer the free trial and loaner bike inventory, tracking allocation, return dates, unit condition, and system status for every asset in that category.
- Generate daily inventory movement and variance reports from the ERP, analyse trends, and recommend practical process improvements to reduce shrinkage and boost operational efficiency.
- Support finance with monthly stock reconciliations, maintain complete documentation such as goods received notes and reconciliation schedules, and assist during internal and external audits.
Requirements & Qualifications
- Bachelor's degree or diploma in Supply Chain Management, Business Administration, Engineering, or a related field.
- 2–4 years of hands-on experience in inventory management, stock control, or a closely related operations role.
- Practical working knowledge of an ERP system; Microsoft Dynamics 365 (D365) is strongly preferred.
- Strong Microsoft Excel skills and the ability to build clear inventory reports and reconciliations from raw data.
- Solid understanding of core inventory principles, including FIFO, serial and batch tracking, cycle counting methodology, and basic stock valuation.
- Exceptionally detail-oriented mindset, capable of catching and resolving unit-level and serial-number mismatches before they escalate.
- Nice to have: previous experience in automotive, electric vehicle, or mobility operations, and familiarity with Zoho CRM.
