Role Overview
This position focuses on keeping inventory levels aligned with project needs while protecting the company from overstocking, shortages, and unnecessary waste. On a typical day, you will be tracking stock movements in Zoho, counting physical inventory, preparing delivery documentation, and reviewing cost records to ensure that every transaction is accounted for. Your work matters because project timelines, financial reporting, and audit outcomes all depend on having reliable inventory data and clean reconciliation processes.
Key Responsibilities
- Monitor stock levels throughout the entire flow of materials, from receipt and storage to dispatch and disposal, flagging any risks to upcoming installations.
- Reconcile physical inventory records with entries in Zoho, investigating mismatches and correcting them in a timely manner.
- Prepare and maintain delivery notes for all inventory-related requests, while keeping clear records of what has been received and sent out.
- Record all inventory transactions, including purchases, adjustments, write-offs, and transfers, so that financial statements remain accurate and complete.
- Run regular stock risk assessments and internal audit checks, then implement controls that reduce losses, errors, and inefficiencies.
- Help improve inventory workflows by participating in automation projects, such as streamlining material request processes and standardizing stock documentation.
- Develop inventory cost reports, variance analyses, and profitability summaries that help project managers and leadership understand spending patterns and identify savings.
- Work closely with project leads to ensure equipment and materials are available when needed, and resolve any inventory-related issues that could delay delivery or affect quality.
Requirements & Qualifications
- Bachelor’s degree in supply chain management, accounting, finance, business administration, or a related field.
- 1–2 years of experience in inventory accounting or a similar role, preferably within the IT or technology sector.
- Solid grasp of inventory management principles, cost tracking, valuation methods, and financial reconciliation practices.
- Hands-on experience with inventory management software and accounting platforms; familiarity with Zoho is a plus.
- Strong analytical thinking, with the ability to interpret stock and financial data and turn it into practical recommendations.
- High attention to detail and a disciplined approach to recordkeeping, auditing, and discrepancy resolution.
- Effective communication and collaboration skills, especially when coordinating with project teams, finance staff, and vendors.
- Relevant certification such as CPA, CIMA, CIPS-UK, or CPSP-K is desirable, along with knowledge of CCTV, access control, and comparable IT equipment.
