Job Description

Role Overview

This is an on-site position in Mombasa for someone who enjoys being close to the physical reality of stock rather than only the spreadsheet version of it. Reporting to the Inventory Manager, you will own the accuracy of serialised, high-value units as they arrive from OEMs, move between branches, go out on loan or trial, come back as returns, and re-enter available stock. Your work is the reason Finance can reconcile with confidence, sales can promise stock that genuinely exists, and recurring discrepancies get fixed at the source instead of being written off.

Key Responsibilities

  • Meet inbound consignments from OEMs at the point of delivery, physically count the units, and check what actually arrived against purchase orders, delivery notes, and supporting paperwork before accepting anything.
  • Receipt all incoming stock into Microsoft Dynamics 365 without delay, capturing serial numbers, chassis numbers, and item codes accurately, and keep the full paper trail intact — goods received notes, delivery notes, transfer records, variance reports, and reconciliation schedules.
  • Process outbound activity including stock issues, interbranch transfers, returns, and adjustments through both D365 and Zoho CRM, and prepare the corresponding transfer notes, delivery documentation, and dispatch confirmations.
  • Reflect every stock movement in D365 and Zoho as it happens, working to a minimum stock accuracy of 99% across inbound, outbound, transfers, returns, and adjustments.
  • Carry out regular cycle counts and support the monthly full physical stock take, submitting variance reports within agreed SLAs and investigating the root cause whenever the same discrepancy pattern repeats.
  • Manage the battery returns process end to end: receiving returned units, assessing and recording them by condition, and following each one through the refurbishment lifecycle until it is quality-checked and returned to available stock.
  • Administer the free trial and loaner bike pool, tracking allocation, return dates, condition, and system status for every unit in that category.
  • Report daily on stock movements, variances, and open items, generate and analyse inventory reporting from the ERP, recommend improvements to tighten accuracy and efficiency, and support Finance with monthly stock reconciliations, audit-ready records, and internal and external audits.

Requirements & Qualifications

  • Bachelor's degree or diploma in Supply Chain Management, Business Administration, Engineering, or a related field.
  • 2–4 years of experience in inventory management, stock control, or a comparable operations role.
  • Practical, hands-on ERP experience; Microsoft Dynamics 365 (D365) is strongly preferred.
  • Proficiency in Microsoft Excel and inventory reporting.
  • Solid grounding in inventory control principles, including FIFO, serial and batch tracking, cycle counting methodology, and the basics of stock valuation.
  • Exceptional attention to detail — the ability to spot and resolve discrepancies at the individual unit and serial number level before they compound.
  • Nice to have: experience in the automotive, electric vehicle, or mobility sector, and familiarity with Zoho CRM.
