Role Overview
This HR generalist position sits at the centre of the employee lifecycle, owning the day-to-day administrative engine that keeps a growing organisation running smoothly. You will handle everything from first candidate outreach to final exit formalities, ensuring that every hire, record, and query is processed accurately and on time. By keeping employment data clean, compliance deadlines met, and employees supported, you directly help the company avoid legal risk and build a positive, efficient workplace.
Key Responsibilities
- Manage the end-to-end recruitment administrative workflow: posting job openings, reviewing incoming applications, shortlisting suitable profiles, scheduling interviews, and updating candidate statuses in the applicant tracking system.
- Run a structured onboarding process for new hires, working with headquarters to create employment contracts and offer letters, collecting all necessary identification and statutory documents, and coordinating first-day orientation sessions.
- Operate as the custodian of personnel records, ensuring that both physical files and the HRIS database are accurate, current, and restricted to authorised personnel at all times.
- Act as the first point of contact for employees with questions about leave, benefits, policy interpretation, or workplace procedures, resolving straightforward matters directly and redirecting complex cases to senior HR staff.
- Monitor compliance with Kenyan labour regulations and statutory filing requirements, tracking deadlines for renewals, returns, and reporting, while preparing monthly or quarterly HR dashboards for management.
- Support employee relations by taking notes during disciplinary or grievance meetings, drafting correspondence, and ensuring that all actions follow approved HR policies and legal requirements.
- Identify friction points in HR processes and propose practical improvements that reduce manual work, reduce errors, and improve the overall employee experience.
Requirements & Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related discipline.
- At least 5 years of hands-on HR experience, with solid exposure to recruitment, onboarding, employee records, and compliance administration.
- Strong command of Microsoft Office or Google Workspace, plus practical familiarity with HRIS platforms and applicant tracking systems.
- Excellent written and verbal communication skills, able to explain HR matters clearly and tactfully to employees at every level.
- Demonstrated integrity and discretion when handling sensitive employee information, with a meticulous approach to data entry and documentation.
- Ability to work independently in a fast-paced environment, prioritise competing deadlines, and maintain accuracy under pressure.
