Job Description

Role Overview

This Human Resource Officer position reports to senior management and serves as the day-to-day people operations lead for a production-focused workforce. You will run monthly payroll, keep shift-based staffing and records in order, and handle employee relations and labour compliance across the Nairobi base and regional locations. The role matters because accurate pay, fair discipline, and compliant HR practices keep production teams stable, motivated, and legally protected.

Key Responsibilities

  • Manage the full monthly payroll cycle, including basic salaries, allowances, overtime, and statutory deductions, then reconcile accounts, resolve payment queries, and protect confidential pay records.
  • Maintain employee files, contract updates, leave balances, and daily shift attendance registers so HR data remains current and audit-ready.
  • Partner with production floor managers to allocate daily staffing, track shift productivity, and control overtime hours.
  • Apply performance metrics, discipline codes, and productivity expectations across operational and factory teams.
  • Produce weekly and monthly HR reports on headcount changes, overtime costs, turnover, and attendance trends.
  • Coordinate recruitment from shortlisting and interview panels through background checks and structured onboarding.
  • Address grievances, disciplinary hearings, absenteeism, and inter-departmental conflicts in line with company policy, while supporting engagement, recognition, and staff welfare efforts.
  • Enforce Kenyan labour legislation and internal HR guidelines, travel to regional sites for audits, interviews, training, and operational support, and complete assigned HR projects within set timelines.

Requirements & Qualifications

  • Bachelor’s degree in Human Resource Management, Commerce, Business Administration, or a related discipline.
  • Higher Diploma in HRM or CHRP qualification required or strongly preferred; active IHRM membership is an added advantage.
  • At least 3 years of progressive HR generalist experience in a fast-paced environment.
  • Hands-on experience running full-cycle payroll and supporting production or manufacturing workforces is highly preferred.
  • Solid knowledge of Kenyan employment law, PAYE, NSSF, SHIF, and Housing Levy requirements.
  • Ability to manage high-volume worker logistics, production shifts, and operational deadlines.
  • Strong conflict resolution, communication, discretion, and integrity when handling sensitive HR matters.
  • Willingness to travel to regional locations as required.
