Job Description

Role Overview

This position pairs day-to-day human resources administration with the hands-on coordination of the crews that deliver live events. Reporting to the Finance Director, you will keep the employee lifecycle running smoothly — from onboarding through exit — while making sure the right technicians, freelancers, and temporary staff are booked, briefed, and supported at venues across Nairobi. The role matters because event delivery depends on people showing up prepared and paid correctly, so the accuracy of your records and the speed of your coordination directly shape whether each project lands on time.

Key Responsibilities

  • Maintain employee files, draft and issue contracts, and run onboarding, transfers, and exit procedures in line with internal policy.
  • Handle recruitment end to end: advertising vacancies, screening and shortlisting applicants, scheduling interviews, running reference or background checks, and conducting inductions.
  • Compile monthly payroll inputs by tracking attendance, leave balances, timesheets, and overtime across core staff and project teams.
  • Keep the organisation current on statutory deductions and filings, including NSSF, SHIF, PAYE, and Housing Levy obligations.
  • Build and update a database of temporary, freelance, and project-based workers so event staffing needs can be filled quickly.
  • Coordinate crew deployment and on-site logistics — briefing teams, checking equipment and departmental readiness, and monitoring attendance and task completion during events.
  • Act as first point of contact for employee questions and grievances, and help resolve disputes before they escalate.
  • Produce periodic HR and operations reports covering headcount movement, attendance patterns, project staffing costs, and resource use, and support internal compliance audits and HR system improvements.

Requirements & Qualifications

  • Bachelor's degree in Human Resource Management, Business Administration, Operations Management, or a comparable discipline.
  • At least three years of experience in HR operations, administration, or workforce management.
  • CHRP-K certification is an added advantage.
  • Working knowledge of Kenyan labour laws and employment regulations, with the ability to apply them to contracts, leave, and statutory filings.
  • Demonstrated experience coordinating project-based teams, temporary workers, or large field crews.
  • Background in events, entertainment, hospitality, media production, or an agency setting is preferred.
  • Strong organisational skills and the ability to juggle competing priorities against tight project deadlines, including occasional evening and weekend work around events.
  • Comfortable communicating with corporate leadership, technical crews, and creative talent alike.
  • Proficient with Microsoft Office and modern HR information systems.
