Job Description

Role Overview

This HR Officer position owns the full generalist people function for a busy operational site in Ruaraka, Nairobi, working directly under the management team. Day to day, the holder moves between payroll and statutory filing deadlines, personnel record-keeping, recruitment, and on-the-floor employee relations for a shift-based workforce. The role matters because accurate, on-time pay and clean labour-law compliance keep the operation running without disruption or dispute.

Key Responsibilities

  • Run the monthly payroll cycle end to end — basic pay, allowances, overtime, staff loans and advances, and authorised deductions — ensuring every payment lands on schedule.
  • Compute and remit statutory obligations including PAYE, NSSF, SHIF and other legally required levies, hitting each filing deadline without exception.
  • Reconcile payroll accounts each cycle, chase down and correct payment variances, and keep payroll ledgers secured and confidential.
  • Keep employee records complete and current across both paper and digital systems — contracts, personal details, leave entitlements and service history.
  • Monitor attendance, shift rosters, overtime and absence patterns across operational teams, and compile periodic HR reports on headcount, turnover, leave usage and payroll cost for management.
  • Manage recruitment from start to finish: writing job descriptions, shortlisting applicants, sitting on interview panels, running reference and background checks, and issuing offers.
  • Deliver structured induction sessions for new joiners, and handle grievances, workplace disputes and disciplinary cases fairly and in line with company policy and Kenyan labour law.
  • Track probation timelines, support annual performance reviews, help line managers build Performance Improvement Plans, and arrange training or capacity-building sessions where skill gaps are identified.

Requirements & Qualifications

  • A degree or diploma in Human Resource Management, Business Administration, or a closely related discipline.
  • At least three years of hands-on generalist HR experience gained in a fast-paced working environment.
  • Background in manufacturing, retail distribution or logistics is strongly preferred, particularly where the workforce has been shift-based or operational.
  • Demonstrated, practical ability to run monthly payroll and statutory filings (PAYE, NSSF, SHIF) using HR or payroll software.
  • Active membership with the Institute of Human Resource Management (IHRM) is an added advantage.
  • Strong working command of Microsoft Excel and Word.
  • Solid, current grasp of Kenyan employment legislation and industrial relations practice.
  • High ethical standards and proven discretion when handling confidential payroll and personnel information.
