Role Overview

We are seeking a highly disciplined, compliance-focused Human Resource Officer to support the operational administration and structural coordination of our workforce management framework. Your primary objective is to anchor day-to-day HR systems, driving the entire employment life cycle from vacancy advertising and initial candidate screenings to contract management, leave logging, and onboarding. This position bridges meticulous administrative governance with active employee relations; you will serve as a reliable point of contact for daily staff inquiries while ensuring that payroll variants and personnel records align perfectly with internal guidelines. The role demands an organized, ethical professional who holds deep knowledge of local statutory regulations and can maintain absolute confidentiality inside a busy organizational ecosystem.

Areas of Accountability

Personnel Records & Payroll Synchronization

  • Manage complete, up-to-date, and confidential physical and digital employee personnel files, protecting data integrity.
  • Administer routine attendance sheets, medical leave approvals, annual leave tracking records, and statutory deductions logs.
  • Collate and compile monthly payroll updates, processing employee variables, overtime data, and dynamic contract shifts for final review.
  • Draft official employment offers, contract addendums, promotion letters, internal transfer notices, and formal company communications.

Talent Acquisition & Staff Onboarding

  • Coordinate initial recruitment workflows, posting internal or external job openings and managing the receipt of applications.
  • Shortlist qualified resumes against fixed job descriptions, organizing interview dates and verifying background reference paths.
  • Execute structured orientation frameworks and induction schedules for incoming staff to speed up time-to-productivity metrics.
  • Partner with department heads to identify immediate training needs, arranging development workshops and archiving attendance lists.

Policy Enforcement & Employee Relations

  • Assist senior HR managers in executing institutional labor policies, staff handbooks, and operational best practices.
  • Address routine staff queries, grievance reports, and internal requests neutrally, advising personnel on standard benefits.
  • Coordinate preliminary logistics for disciplinary panels, documenting minutes accurately and filing chronological warning notes.
  • Track occupational health and safety (OHS) site indicators, supporting staff wellness programs and workspace hazard checks.

Audit Compliance & Analytics Reporting

  • Review operational HR activities continuously to secure absolute compliance with the Employment Act and Kenyan labor laws.
  • Prepare comprehensive monthly workforce statistics, head-count reports, turnover analyses, and performance evaluation metrics.
  • Collect annual staff appraisal records, organizing individual evaluation tracking sheets to support internal performance reviews.

Skills & Experience Required

Minimum Entry Criteria

  • Academic Foundation: Bachelor's degree in Human Resource Management, Business Administration, or a matching corporate management field from an accredited institution.
  • Professional Licensing: Must be a Certified Human Resource Professional (CHRP-K) holding active registration with the Institute of Human Resource Management (IHRM).
  • Field Longevity: Minimum of 3 years of progressive, hands-on experience handling HR operations, ideally within an agricultural enterprise, large production plant, or complex corporate framework.
  • Legal Toolkit: Sound functional understanding of Kenyan labor legislation, industrial relations protocols, and statutory compliance frameworks.
  • Digital Literacy: High proficiency utilizing Microsoft Office applications (Excel, Word, PowerPoint) alongside modern Human Resource Information Systems (HRIS).
