Role Overview
This Senior HR Officer role keeps essential employee processes running consistently across the group, from joining and leave administration to performance and exit documentation. You will support managers and branch teams with practical HR guidance, maintain reliable records and reports, and help ensure employee matters are handled promptly and in line with Kenyan employment requirements.
Key Responsibilities
- Prepare and track employment offers, contracts, renewals, confirmations, transfers, promotions and other employee letters.
- Coordinate onboarding, induction, probation reviews and offboarding, ensuring required documents and approvals are completed and filed.
- Maintain accurate physical and electronic personnel files, HRIS records and trackers, and follow up on missing or outdated information.
- Administer leave records and balances; review attendance and clocking exceptions; and compile accurate summaries for payroll and management.
- Respond to routine employee queries and support disciplinary and grievance cases by coordinating notices, investigations, hearings, minutes and outcome records.
- Track disciplinary actions and performance improvement plans, including acknowledgements, review dates, evidence and manager follow-up through to closure.
- Support branch and departmental managers with HR actions, conduct routine documentation checks, and escalate compliance issues requiring attention.
- Prepare weekly and monthly reports covering workforce numbers, contracts, leave, attendance, employee relations, performance plans and exits; assist with recruitment administration when needed.
Requirements & Qualifications
- At least 4–6 years of practical experience in a Senior HR Officer, HR Generalist or comparable operational HR position.
- A bachelor’s degree, master’s degree or higher diploma in Human Resource Management, Business Administration or a related discipline.
- Working knowledge of Kenyan employment law, leave administration, disciplinary processes and employee documentation requirements.
- Experience maintaining employee records and reports, with strong organisation, accuracy and deadline-management skills.
- Practical experience with an HRIS or employee database.
- Experience supporting multiple branches, sites or group entities is an advantage.
- IHRM membership or another relevant professional HR certification is an advantage.
- Clear, professional communication and sound judgement when handling confidential employee information and working with managers across different operating environments.
