Role Overview
We are seeking a highly organised and balanced HR & Administration Officer to streamline personnel operations and oversee daily office efficiency for a prominent continental training and consultancy institution. Your primary objective is to manage the intersection of human resource coordination and physical office management, transforming standard paperwork into an active framework for team productivity. This position bridges staff welfare with strict operational accountability; you will guide employees from initial recruitment and structured onboarding through to daily performance monitoring, policy enforcement, and event logistics. The role demands an emotionally mature, detail-driven supervisor who handles people issues with absolute discretion while keeping administrative workflows running smoothly.
Key Responsibilities
Talent Coordination & Performance Support
- Facilitate staff mapping campaigns, role clarity revisions, and internal workflow tracking tools to optimise team productivity.
- Oversee the complete recruitment lifecycle, managing candidate shortlists, interview panels, background verification, and customised onboarding programmes.
- Monitor performance tracking metrics, evaluate weekly staff updates, run appraisal checks, and implement structured Performance Improvement Plans (PIPs).
- Oversee team welfare channels, implement mature conflict resolution steps, and build a balanced, collaborative office culture.
Document Integrity & Policy Enforcement
- Protect the confidentiality and structure of all secure personnel files, tracking active employment contracts, leave cycles, and daily attendance logs.
- Enforce institutional HR rules, code of conduct frameworks, and workplace guidelines in full compliance with Kenyan labour legislation.
- Assemble accurate monthly payroll adjustments, documenting attendance variances, unpaid leave counts, and mandatory statutory records for financial processing.
Office Operations & Asset Supervision
- Direct day-to-day front office administrative pipelines, maintaining perfect filing setups, monitoring office supply levels, and coordinating courier routes.
- Support procurement processes, maintain an updated organisational asset register, and audit resource usage to prevent waste.
- Supervise junior corporate administrative clerks, support staff, and interns, issuing clear daily task assignments and tracking delivery speeds.
Travel, Training & Event Logistics
- Plan and organise travel arrangements, accommodation requirements, and transit itineraries for corporate consultants and staff.
- Coordinate full event logistics for corporate training schedules, institutional seminars, and client conferences, managing venue preparation and participant lists.
Qualifications & Skills
Minimum Entry Criteria
- Academic Foundation: Bachelor’s degree in Human Resource Management, Business Administration, Public Administration, Social Sciences, or a related discipline.
- Professional Longevity: Minimum of 5 years of practical experience in human resource workflows, office operations, or comprehensive office management.
- Supervisory Experience: Proven track record leading junior administrative staff, directing cross-functional tasks, or tracking operational performance lines.
- Legal Familiarity: Practical grasp of standard labour statutes, disciplinary guidelines, and workplace confidentiality requirements.
- Sector Background: Experience operating inside a professional training centre, consultancy firm, NGO, or corporate services group is a distinct advantage.
Toolsets & Competencies
- Digital Dexterity: Advanced proficiency in Microsoft Excel, Word, Google Workspace, and HRIS or task management software.
- Communication Mastery: Excellent written and verbal communication skills, with a proven track record drafting corporate emails, internal memos, and meeting minutes.
