Role Overview
This graduate internship provides a practical entry point into procurement and supply chain operations within an international non-profit organisation. You will work closely with the Regional Supply Chain Specialist to support daily purchasing activities, from processing requisitions to coordinating with suppliers, while learning how compliance and efficiency keep programmes running. The role is ideal for recent bachelor's graduates who want to build hands-on experience in a structured, mission-driven environment.
Key Responsibilities
- Process purchase requisitions and routine procurement transactions through the ProVision system, making sure every step follows approved policies and authorisation limits.
- Generate and transmit purchase orders to suppliers, then actively track order status and chase deliveries to avoid delays in programme or office operations.
- Assist the Regional Supply Chain Specialist with day-to-day operational tasks, including inventory checks, supplier correspondence, and coordination with internal requesters.
- Review and update the item catalogue in ProVision, ensuring product descriptions, pricing, and supplier information are accurate and current.
- Maintain complete and organised records for sourcing events, including quotations, bids, and evaluation documents, so that the system remains audit-ready.
- Collect feedback from internal teams on supplier performance and consolidate input for periodic Supplier Performance Management (SPM) reviews.
- Prepare basic data summaries and reports on procurement activity, delivery performance, and spend to help identify trends and improvement opportunities.
- Provide timely status updates to requesters, aiming to respond to all procurement queries within 48 hours and escalate issues when needed.
Requirements & Qualifications
Education and Experience
- Bachelor's degree in Supply Chain Management, Procurement, Business Administration, or an equivalent field; an advanced CIPS qualification is also accepted.
- Graduation date within the last two years, or current final-year students eligible for a graduate internship.
- Active membership or registration with the Kenya Institute of Supplies Management (KISM) or the Chartered Institute of Purchasing & Supply (CIPS) in good standing.
- This is an entry-level role, so no professional track record is required; however, any academic exposure to procurement, logistics, or supplier management is beneficial.
Knowledge, Skills and Attributes
- Understanding of procurement policies and a strong commitment to working with integrity and confidentiality.
- High attention to detail, particularly when entering data, reviewing order documents, or matching invoices against purchase orders.
- Clear communication and interpersonal skills, with the ability to work effectively across teams and with external vendors.
- Demonstrated team orientation, willing to support colleagues in different functions and share information openly.
- Cultural awareness and sensitivity when interacting with staff and partners from diverse backgrounds.
- Strong organisational skills, able to handle multiple requests and follow-ups without losing track of priorities.
- Quick learner who can adapt to new systems and workflows; previous experience with e-procurement or ERP tools is advantageous but not essential.
