Role Overview
This role sits at the heart of a fast-paced educational environment, combining front-of-house reception duties with thoughtful client communication and course administration. Day to day, you will be the first point of contact for visitors and callers, manage inbound enquiries about course offerings, and provide structured office support—while also learning to leverage AI tools to streamline scheduling, data entry, and follow-up tasks. Your work directly ensures prospective students receive clear, timely information and that the office runs smoothly behind the scenes.
Key Responsibilities
- Welcome visitors and manage the reception area, handling phone calls, emails, and in-person queries with professionalism and warmth.
- Respond to course enquiries from prospective students, providing accurate details about programmes, start dates, fees, and enrolment procedures.
- Maintain clear and timely client communication, including confirmation messages, appointment reminders, and follow-up correspondence.
- Support office administration tasks such as filing, data entry, inventory of supplies, and document preparation.
- Assist in implementing and using AI-based tools (e.g., chatbots, automated scheduling, CRM assistants) to improve response times and reduce manual repetition.
- Coordinate with academic and admissions teams to ensure seamless hand-off of inquiries and student records.
- Update internal databases and spreadsheets with accurate client and enquiry information.
- Identify recurring administrative pain points and suggest AI-powered or process improvements.
Requirements & Qualifications
- At least 1–2 years of experience in reception, customer service, or administrative support, ideally within an education or training setting.
- Strong verbal and written communication skills, with the ability to explain course details clearly and handle multiple enquiries simultaneously.
- Comfort with basic office software (Microsoft Office, Google Workspace) and willingness to learn new AI productivity tools.
- Excellent organisational skills, attention to detail, and the ability to prioritise tasks in a busy environment.
- A proactive, problem-solving mindset—able to take initiative on routine tasks without constant supervision.
- High school diploma required; associate degree or equivalent experience preferred.
- Familiarity with customer relationship management (CRM) systems or enquiry management software is a plus.
