Role Overview
This finance role supports accurate, timely transactions across payroll, banking, supplier payments, staff advances, and petty cash. By maintaining reliable records, meeting tax and donor requirements, and helping teams resolve payment issues, the post contributes to sound financial control and the smooth delivery of grant-funded and field activities.
Key Responsibilities
- Review payroll data against Workday each month, assist with payroll journal entries, and ensure withholding tax and VAT withholding are filed and remitted to the Kenya Revenue Authority on time.
- Prepare NCBA Bank journals, monitor daily transactions in World Vision Sudan bank accounts, and contribute to monthly bank reconciliations and month-end close, including regional cost entries and reversals.
- Process weekly supplier payments, reconcile supplier statements, review invoices and supporting documents, and enter approved invoices in Provision against the correct budget codes.
- Coordinate invoice submissions to the Service Center and work with Shared Services to resolve billing-string errors; use Provision payment status reports to check with field teams that scheduled payments have been disbursed.
- Record staff-related cash deposits, process advances and refunds, and follow up on outstanding balances to support settlement within the 30-day policy period.
- Administer travel advances for grant project staff in line with organizational policy, and assist employees with finance-system and process questions involving tools such as Concur and Provision.
- Process and document petty cash payments and reimbursements, monitor fund levels and replenishment needs, and prepare monthly reconciliations that match the cash count to the general ledger.
- Support audits and finance reviews by preparing grant schedules and records, tracking agreed recommendations, and completing monthly inter-country allocations in BlackLine, including PAs, SAs, and UNHAS prepayment reconciliation.
Requirements & Qualifications
- Bachelor’s degree in accounting, finance, economics, or a related discipline.
- At least 2–3 years of finance experience; experience with an international organization is preferred.
- Working knowledge of Microsoft Excel and Word, with proficiency in financial systems and applications such as Sun Systems an advantage.
- Strong written and verbal communication skills and the ability to provide responsive, practical support to colleagues.
- Careful, analytical approach to reconciliations, supporting documentation, financial controls, and compliance.
- Ability to understand the humanitarian operating context and World Vision’s mission and operations, deliver quality service, and pursue ongoing learning and development.
- Primarily office-based, with field travel when required.
