Role Overview
This Finance Officer position supports a commercial trading business that supplies engineering and electrical solutions from Mlolongo, Kenya. The role owns the daily accounting cycle: processing supplier and customer transactions, keeping bank and cash records aligned, tracking stock movements, and preparing the financial information the Director uses to steer the business. It suits someone who enjoys hands-on bookkeeping, tight deadlines, and making sure that every entry in the ledgers can be traced back to a document, a stock item, or a tax obligation.
Key Responsibilities
- Confirm that each supplier bill agrees with the matching purchase order, goods received note, and the terms agreed with the vendor before it enters the payment run.
- Plan supplier payment runs, tie vendor statements back to the ledger, and chase down disputed charges until they are settled.
- Issue customer invoices, match incoming payments to the correct accounts, review aged debt, and apply credit-control steps where balances run past terms.
- Reconcile cashbooks and bank accounts each day, trace items that do not balance, and keep a running view of money coming in and going out.
- Keep the general ledger current, post month-end accruals and prepayments, and pull together audit schedules when the year-end review begins.
- Produce receivables and payables ageing reports, periodic cash-flow statements, and supporting schedules for the Director to review.
- Compare inventory records with sales invoices and physical stock counts, then work with warehouse colleagues to explain and correct differences.
- Support the preparation and submission of statutory returns, including VAT, while applying internal financial controls and protecting confidential commercial records.
Requirements & Qualifications
- Bachelor’s degree or diploma in Accounting, Finance, Commerce, or a closely related field.
- CPA or ACCA qualification, or clear progress toward one, is highly desirable.
- 2–4 years of accounting experience, preferably gained in trading, distribution, manufacturing, or FMCG environments.
- Practical command of modern ERP systems and advanced Microsoft Excel for reconciliations, modelling, and reporting.
- Working knowledge of bookkeeping, double-entry accounting, VAT and tax compliance, and inventory costing.
- Strong numerical accuracy, problem-solving skills, and the ability to trace and correct ledger discrepancies.
- Professional integrity, comfort with monthly reporting deadlines, and clear communication across departments.
