Role Overview
This position anchors the financial operations of a Nairobi-based human rights and accountability organisation running programmes across Somalia, Ethiopia, Sudan and South Sudan. Working side by side with Programme Managers across the region and with the Finance Manager in Geneva, the Finance Coordinator keeps grant funds moving accurately, compliantly and on schedule — from daily transaction processing and bank reconciliations through to donor reporting and hands-on support for local partners. The role matters because the organisation's standing with institutional donors and implementing partners rests on money being budgeted, tracked and documented to an exacting standard.
Key Responsibilities
- Record all financial transactions in the organisation's enterprise accounting software completely and on time, and prepare banking payments for authorisation.
- Produce monthly cash call requests and quarterly forecasts covering disbursements and spending, and allocate shared administrative costs across grants each quarter.
- Operate and monitor internal financial controls, including bank and petty cash reconciliations submitted to the Programme Manager for approval, while supplying the Geneva team with monthly intercompany account reconciliations.
- Collect, process and settle supplier invoices tied to specific grants, review monthly payroll to confirm salaries are paid promptly, and maintain the monthly exchange rates entered into the accounting system.
- Build the annual fixed-cost budget jointly with the Programme Manager, and contribute budget figures to new grant proposals, grant budget amendments and consolidated allocation tables.
- Track monthly budget-versus-actual spend and spending plans for every grant, and draft funding requests and donor financial reports against approved budgets.
- Lead local grant audits in Kenya and support internal, external and yearly statutory audits in line with donor requirements and internal archiving policy.
- Serve as the finance focal point for partners and implementing partners — reviewing their financial reports and supporting documentation, arranging advance payments, and delivering training on budgeting, compliance and donor rules as needed.
Requirements & Qualifications
- Legal right to work in Kenya.
- Bachelor's degree in finance, accounting, commerce, business management or a closely related discipline.
- Certified Public Accountant of Kenya (CPA-K) qualification, or an equivalent professional accounting certification such as ACCA, CIMA or CPA.
- At least five years of demonstrated experience in a comparable position with an international NGO.
- Solid grasp of Kenyan statutory and tax obligations, including PAYE, VAT, withholding tax, NSSF and SHIF/SHA.
- Excellent written and oral communication skills in English.
- Advanced, hands-on Excel skills.
- Proven track record working within donor frameworks such as NORAD, US government funding, FCDO, EU, UN agencies or other institutional donors.
- Practical experience with enterprise accounting platforms such as Microsoft Dynamics 365 Business Central, Navision or a similar system.
- Ability to stay effective under pressure and meet competing, tight deadlines, and to explain technical financial matters clearly to colleagues without a finance background.
- Creative, analytical approach to problem solving, with strong organisational skills and the capacity to coordinate multiple projects in a fast-paced environment.

- Annual salary in the range of Kes. 3,660,000 to Kes. 3,780,000, based on experience, plus benefits.
