Role Overview
This position serves as the administrative anchor for partners and associate directors, keeping their schedules, meetings, financial administration, travel and document flow running smoothly while they concentrate on strategy and client service. The role operates at the centre of a busy professional services office, where competing priorities and short deadlines are routine. Success means senior leaders can rely on accurate, confidential and timely support that also protects the firm’s professional image with clients and internal stakeholders.
Key Responsibilities
- Own and coordinate complex diaries for partners and associate directors, adapting to individual working styles and resolving scheduling conflicts as they arise.
- Plan internal and external meetings, events and logistics, including invitations, room or venue arrangements, materials and follow-up communication.
- Process financial administration such as expense claims, advances, supplier creation, local purchase orders, fee notes and credit notes, and submit partner or associate director timesheets when requested.
- Assemble proposals and reports by gathering required documents, working with the CMD team on branding compliance, and coordinating dispatch through the mailing room.
- Manage information flow between stakeholders, screen correspondence, handle confidential material appropriately, and maintain organised filing with support from filing clerks.
- Arrange business travel for business unit staff, including visa applications, flights, hotels, itineraries, travel advances and airport or ground transfers.
- Support practice management by organising risk management refresher training, maintaining an annual invoice schedule for review, and scheduling learning and development sessions.
- Help administer the budget and deliver staff and client events such as away days, client breakfasts and cocktail receptions.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Secretarial Studies, or a first degree in any discipline.
- A certificate in Project Management would be advantageous.
- At least 2 years of relevant administrative experience in a quick-moving, high-pressure work setting.
- Exposure to day-to-day commercial operations and familiarity with management concepts and workplace procedures.
- Strong office administration knowledge, business awareness, and proficiency with office systems and tools.
- Capability in calendar management, project coordination, and data management.
- Demonstrated confidentiality, time management, meticulous attention to detail, problem-solving and critical thinking.
- Professional interpersonal style, ability to prioritise, proactive approach, and flexibility when demands shift.
