Role Overview
This position supports the Credit Control Operations Manager by owning the end-to-end credit lifecycle for an assigned portfolio of customer accounts. Day to day, you will balance proactive collections with careful risk monitoring, reconciling accounts, resolving payment disputes, and coordinating with sales, warehouse, dispatch, and external collection agencies to keep cash flow healthy. Your work directly protects the company from credit losses while enabling smoother transactions for customers and internal teams.
Key Responsibilities
- Run timely credit risk assessments for both prospective and existing customers, reviewing KYC documentation and verifying that all account-opening and credit application details are complete and accurate.
- Enforce agreed credit terms, track payment patterns, and drive collections to meet monthly targets while escalating overdue accounts and proposing recovery actions such as small claims court proceedings.
- Reconcile customer accounts and obtain sign-off by the fifth business day of each month, ensuring no reconciling balances roll over into the next period.
- Review accounts receivable records to spot discrepancies in billing or collection activities, assess accounts for potential write-off, and recommend adjustments as needed.
- Issue demand letters, violation-of-terms notices, and monthly customer statements, while also preparing and circulating weekly and monthly aged debtor reports and collection summaries.
- Liaise with credit bureaus for accurate listings and de-listings, and maintain a risk register for assigned accounts to flag early warning signs such as missed payments, unverified shipments, or unapproved credit notes.
- Work with internal teams to resolve customer disputes quickly without damaging relationships, and ensure all invoice, credit note, and WHVAT coding procedures are correctly followed.
- Support the Credit Control Operations Manager in refining collection processes, suggesting practical improvements, and carrying out ad hoc assignments from commercial and sales leadership as required.
Requirements & Qualifications
- Bachelor’s degree in Finance, Accounting, or a closely related discipline; CPA Part 3 or an equivalent professional certification is required.
- At least 4 years of hands-on experience in credit control, ideally within a high-volume, fast-paced business environment where strict deadlines are the norm.
- Strong working knowledge of financial and accounting software, plus advanced proficiency in Microsoft Excel for data analysis, reporting, and reconciliations.
- Solid understanding of generally accepted accounting principles and how they apply to credit, collections, and accounts receivable.
- Proven ability to collaborate across departments and with external customers, maintaining professionalism and clear communication even when handling difficult collection conversations.
- Excellent analytical and problem-solving skills, with the capacity to interpret payment trends, identify risk factors, and propose practical, actionable solutions.
- Strong planning and organizational abilities, with a track record of managing multiple priorities and meeting tight reporting deadlines without compromising accuracy.
