Role Overview
This role sits at the operational core of a fast-growing aquaculture company, ensuring leadership meetings run smoothly, projects stay on track, and key data is always ready for decision-making. Day to day, you will coordinate senior leadership forums, maintain action logs, support cross-functional projects, and prepare reports and presentations—all while serving as a reliable liaison between the Business Operations Manager and department leads. Your work matters because it keeps leadership focused on strategic priorities rather than logistics, and directly impacts the company’s ability to execute on its mission.
Key Responsibilities
- Coordinate the full calendar for senior management forums—weekly leadership meetings, monthly business reviews, quarterly planning sessions, and all-hands—including scheduling participants, booking rooms, and setting up dial-in logistics.
- Prepare and distribute agendas and pre-read materials ahead of each meeting, partnering with the Business Operations Manager to confirm content and timing.
- Take clear, accurate minutes that capture decisions, action items, named owners, and due dates; then circulate those minutes promptly after each meeting.
- Maintain a central action log across all leadership forums, proactively following up with stakeholders to ensure commitments are delivered on time.
- Manage assigned projects end-to-end under the guidance of the Business Operations Manager, and support larger cross-functional initiatives by tracking milestones, updating workplans, and flagging potential delays early.
- Keep company-wide KPI and OKR trackers current and accurate, prepare first drafts of briefing materials and operational summaries, and transform raw data into clear spreadsheets and presentation-ready reports.
- Organise shared files, templates, and documentation so information is accessible, up-to-date, and easy to retrieve; serve as a point of contact between the Business Operations Manager and departments to ensure clear communication and follow-through.
- Handle ad hoc tasks such as research, data pulls, event coordination, and similar small initiatives, always treating confidential and sensitive information with professionalism and discretion.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- 2–4 years of experience in business operations, project coordination, administration, consulting, or a similarly structured role.
- Exceptional organisational skills and attention to detail, with the ability to juggle multiple workstreams simultaneously.
- Strong written communication: able to produce accurate meeting minutes, well-formatted documents, and clear status updates.
- Proficient with spreadsheets, presentation tools, and collaboration platforms; comfortable organising complex information into actionable outputs.
- Good interpersonal skills and the confidence to follow up and engage with senior stakeholders.
- Proactive, dependable, and results-oriented, with a strong sense of ownership and accountability.
- Discreet and trustworthy when handling confidential information.
