Role Overview
This is a hands-on, office-based bookkeeping role with an engineering and electrical solutions business that trades and distributes goods, working from the company's Mlolongo premises on a full-time basis. You will be the person keeping the ledgers current day to day — entering transactions, raising and tracking invoices, checking supplier paperwork before anything gets paid, and keeping the cashbook and bank records straight — so the Director always has a trustworthy view of the company's cash position. Because the business handles physical stock alongside customer and supplier accounts, the accuracy you bring to payables, receivables and inventory-linked records has a direct effect on margins and on whether month-end closing lands on time.
Key Responsibilities
- Record daily sales, purchases, receipts, payments and journal entries into the general ledger and relevant daybooks, ensuring every posting is backed by complete supporting documentation.
- Maintain the cashbook, balance it daily, and administer petty cash — issuing disbursements, recording them, and reconciling the physical float against receipts.
- Raise and dispatch customer invoices, log incoming payments, reconcile customer ledgers, prepare monthly account statements and follow up on outstanding balances as directed.
- Investigate, reconcile and resolve discrepancies on customer accounts quickly so debtor records stay clean.
- Check supplier invoices, delivery notes and purchase orders against actual goods received, keep vendor ledgers current, reconcile supplier statements each month and prepare payment vouchers for approval.
- Carry out routine bank reconciliations, tracing and clearing differences between internal records and bank statements.
- Assist with reconciling stock balances against sales and purchase records, and support periodic physical inventory counts.
- File and archive both physical and electronic transaction records so that any document can be retrieved quickly during management or audit reviews.
Requirements & Qualifications
- Diploma or certificate in accounting, bookkeeping, finance or a closely related field.
- Progress toward CPA (K), ACCA or an equivalent accounting qualification is highly desirable.
- At least one year of continuous bookkeeping experience, ideally gained in a trading, engineering, FMCG, manufacturing or distribution environment.
- Practical working knowledge of ERP accounting software such as QuickBooks, Sage or SAP, plus strong Microsoft Excel skills.
- Proven numerical accuracy, with the ability to identify the cause of, and clear, bank and ledger variances rather than simply flagging them.
- Disciplined approach to record-keeping and document filing, and a firm commitment to keeping financial data confidential.
- Self-directed and proactive, able to work independently and deliver on tight monthly financial close deadlines.
- Clear written and verbal communication for chasing receivables, querying supplier documents and corresponding with customers on account matters.
