Job Description

Role Overview

This internship sits within the Country Programme team, where you will provide hands-on administrative support across human resources, finance, procurement, and office operations. Your day-to-day work will involve keeping personnel and vehicle records accurate, pulling data from internal systems, and helping prepare the reports and correspondence that keep the office running smoothly. By taking care of these essential behind-the-scenes tasks, you free up senior staff to focus on programme delivery and help maintain accountability and transparency in how resources are used.

Key Responsibilities

  • Maintain and update vacancy announcement files, tracking each opening from posting through to recruitment outcomes.
  • Keep the staffing table current and produce statistical summaries or visual charts to support workforce planning.
  • Pull financial reports from the UMOJA system and adapt them into tailored summaries for management or audit purposes.
  • Draft standard letters and replies to internal and external enquiries covering administrative, financial, audit, and personnel matters.
  • Prepare and customise administrative reports to meet the specific needs of different teams or review processes.
  • Collect supplier quotations and help organise procurement documentation so that purchasing files are complete and ready for review.
  • Oversee office vehicle logbooks by entering usage data, checking that entries are complete, and flagging discrepancies.

Requirements & Qualifications

  • At the time of application, you must be enrolled in a graduate programme (second university degree or higher), be in the final year of a bachelor’s degree, or have already graduated with a bachelor’s, master’s, or PhD.
  • Be computer literate in standard software, particularly the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Show a clear interest in the work of the United Nations and a personal commitment to the principles of the UN Charter.
  • Demonstrate the ability to interact respectfully and effectively with people from different cultural backgrounds and viewpoints, with openness to differing opinions.
  • Preferred fields of study include business administration, political science, economics, or related disciplines.
  • No prior professional work experience is required, but your field of study should be closely related to the internship’s focus on administration, finance, human resources, or procurement.
  • Experience in organising, supporting, or participating in administrative services, finance, accounting, audit, or human resources is desirable.
  • Strong research, data collection, and reporting skills related to financial and administrative services are desirable.
  • Fluency in written and spoken English and Arabic is required; knowledge of another UN language is an advantage.
