Role Overview
The Accounts Assistant helps keep the school’s finance office accurate and responsive, with day-to-day work centred on student fee records, payment processing and bookkeeping. Reporting to the Finance Manager, the role also contributes to bank reconciliations and payroll preparation, giving school management dependable financial information for routine decisions.
Key Responsibilities
- Record student fee payments received by bank deposit, mobile payment or cheque, and issue the appropriate receipts.
- Keep individual student ledgers current, including payments, fee adjustments and amounts still due.
- Review overdue accounts and prepare fee collection updates for management.
- Check supplier invoices, local purchase orders, payment vouchers and petty cash requests before processing.
- Reconcile bank records each month, count cash held and review mobile money statements.
- Identify and resolve posting mistakes, unmatched deposits and other ledger differences.
- Help prepare monthly payroll schedules, check attendance information and assist with statutory deduction calculations and remittances.
- Maintain orderly, confidential financial, payroll, tax and supplier records, and provide routine finance updates as required.
Requirements & Qualifications
- Diploma or bachelor’s degree in Accounting, Finance, Business Administration or a closely related discipline.
- At least two years of practical accounting or bookkeeping experience; experience in a school, college or other education setting is an advantage.
- Proficiency in Microsoft Word and Excel, with familiarity using accounting software or a school management system.
- Strong numerical accuracy and the ability to maintain reliable ledgers, verify payments and balance accounts.
- Clear, tactful communication skills for responding professionally to parents’ questions about fees.
- Well-organised approach to filing, record-keeping and managing recurring deadlines.
- Ability to support payroll administration and work with Kenyan statutory deductions, including PAYE, NSSF, SHIF and the Housing Levy.
What We Offer / Why Join
This is a full-time, on-site position in Kilifi, Kenya, with monthly remuneration of KSh 25,000. The role offers hands-on responsibility across student fee administration, bookkeeping, reconciliations and payroll support within an educational institution.
