Job Description

Administrative Assistant (Intermittent)

This position provides intermittent administrative assistance to various sections throughout the Embassy, supporting section chiefs and the front office as needed.

Duties and Responsibilities

  • Draft correspondence, diplomatic notes, and demarches.
  • Type reports and cables; prepare briefing books and talking points.
  • Answer telephones, screen calls, and take accurate messages.
  • Meet and escort visitors and work crews.
  • Sort and distribute mail; organize and maintain paper and electronic filing systems.
  • Schedule appointments, take notes at meetings, and perform other administrative support functions.
  • Work under the supervision of the section chief, with indirect reporting to the SHRO or DHRO.

Qualifications and Evaluations

Experience

  • Two years of administrative and clerical office experience is required.
  • Broad knowledge of the Embassy, including all agencies, and the ability to interact effectively with employees from other agencies.
  • Good general knowledge of agency correspondence and applicable office procedures.
  • Ability to respond to queries from VIP visitors and the Front Office; confidentiality is imperative.

Education Requirements

  • A High School Diploma is required.

Language Proficiency

  • English Level IV (Fluent) Speaking/Reading/Writing is required.

Skills and Abilities

  • Attention to detail and accuracy.
  • Proficiency in Microsoft Suite (PowerPoint, Excel, Outlook) and in-house applications (MyData, MyServices).
  • Ability to prioritize and organize tasks to accomplish workload.
  • Excellent interpersonal and customer service skills to develop cooperative working relationships.
  • Flexibility to work extended hours and in different sections at short notice.
  • Must be able to obtain and maintain a Secret security clearance.
