Job Description

Job Title: Senior Administration Officer

We are seeking a highly competent and experienced Senior Administration Officer to lead administrative operations and provide strategic support within our organization. The ideal candidate will possess strong supervisory skills, a solid academic background, and a proven track record of managing administrative functions in the public or private sector.

Job Summary

The Senior Administration Officer will be responsible for overseeing administrative services, coordinating office operations, managing staff, and ensuring compliance with organizational policies. This role requires a proactive leader who can drive efficiency and uphold professional standards.

Duties and Responsibilities

  • Supervise and coordinate the work of administration officers and support staff.
  • Develop and implement administrative policies, procedures, and systems.
  • Manage office budgets, procurement, and asset inventory.
  • Ensure compliance with relevant laws, regulations, and professional standards.
  • Prepare and review administrative reports, correspondence, and records.
  • Liaise with internal and external stakeholders to facilitate smooth operations.
  • Organize and oversee meetings, events, and travel arrangements.
  • Provide guidance and training to junior staff on administrative best practices.
  • Conduct performance appraisals and support staff development.
  • Perform any other duties as assigned by the supervisor.

Qualifications and Requirements

For appointment to this grade, a candidate must meet the following criteria:

  • Experience: Served in the grade of Senior Administration Officer for at least three (3) years OR a minimum period of six (6) years of work experience, with three (3) of those years in a supervisory position in a comparable and relevant role in the Public or Private Sector.
  • Education:
    • A Bachelor’s degree in any of the following disciplines: Public Administration, Business Administration, Business Management, Human Resource Management, or its equivalent qualification from a recognized institution; OR
    • A Bachelor’s degree in Social Sciences with a Post Graduate Diploma in either Public Administration, Human Resource Management, or its equivalent from a recognized institution.
  • Professional Certification:
    • Passed the Administrative Officers Examination.
    • Current membership to a recognized professional body in good standing.
  • Management Training: Completed a Senior Management Course lasting not less than four (4) weeks from a recognized institution.
  • Statutory Requirements: Meet the requirements of Chapter Six (6) of the Constitution of Kenya 2010, including clearance from relevant agencies.
