Warehouse & Regulatory Affairs Pharmacist (Male)

Role Overview

This position places a registered pharmacist at the centre of a busy pharmaceutical distribution warehouse, where your primary focus is ensuring every product moves through the supply chain safely, legally, and according to strict quality standards. Day to day, you will inspect inbound and outbound stock, validate storage conditions, manage controlled-drug records, and guide warehouse staff on correct handling procedures. Your vigilance here protects both public health and the company’s operating licence, making regulatory accuracy and operational discipline equally important in this role.

Key Responsibilities

• Regulatory & quality oversight: Keep all warehouse operations aligned with Good Distribution Practice (GDP) and Kenya’s Pharmacy and Poisons Board requirements, including timely submission of notifications, reports, and other statutory documents.
• Inventory & stock control: Oversee receiving, storage, picking, and dispatch while maintaining accurate batch-level records, cycle counts, and stock reconciliations to prevent shortages or overstock.
• Product integrity: Implement and enforce FIFO/FEFO rotation, monitor expiry dates, manage damages, and investigate stock discrepancies to minimise losses and ensure product quality.
• Controlled drugs management: Handle the secure storage, documentation, and movement of controlled substances in full compliance with regulatory guidelines, and coordinate annual stock takes and returns.
• Recalls & complaints: Lead product recall procedures and quality complaint investigations by isolating affected stock, documenting root causes, and communicating with relevant stakeholders promptly and accurately.
• SOP development: Write, review, and update standard operating procedures and warehouse quality manuals; deliver training to staff so procedures are fully understood and consistently followed.
• Team supervision: Plan daily work schedules, allocate tasks, monitor individual performance, and support the training and development of warehouse personnel.
• Reporting: Prepare management reports covering stock positions, expiry profiles, rejection rates, temperature exceptions, and operational KPIs for review by senior leadership.

Requirements & Qualifications

• Bachelor of Pharmacy degree from a recognised institution and a valid, current Pharmacist’s Licence — this is a mandatory requirement, not optional.
• At least three years of practical experience working in a high-volume pharmaceutical warehouse, distribution centre, or wholesale outlet where GDP principles are actively enforced.
• Thorough knowledge of Pharmacy and Poisons Board rules, transport and storage regulations, controlled-drug accountability, and pharmaceutical product traceability standards.
• Strong computer literacy in Microsoft Word, Excel, PowerPoint, and Outlook, with hands-on familiarity using ERP or warehouse management systems; working knowledge of Sage ERP is particularly valued.
• Proven ability to supervise or coordinate warehouse teams, set performance expectations, and track operational KPIs effectively.
• Excellent analytical and problem-solving skills to investigate stock variances, identify process weaknesses, and suggest practical corrective measures.
• Clear written and spoken communication skills and the confidence to collaborate with warehouse staff, pharmacy colleagues, external inspectors, and senior management alike.
• A professional certification in supply chain management, pharmaceutical logistics, or a closely related field is an added advantage.
