Job Description

Role Overview

You will be the operational backbone of a transport team, making sure every vehicle, driver, and delivery document is where it needs to be. Your day-to-day focus is on keeping schedules moving, records audit-ready, and compliance issues flagged before they become problems. The work directly affects fleet uptime, regulatory standing, and the overall cost-efficiency of transport operations.

Key Responsibilities

  • Organise and oversee the day-to-day movement of vehicles and drivers, ensuring daily transport plans are executed smoothly.
  • Maintain accurate and up-to-date records for trips, drivers, vehicles, and deliveries, with proper filing for easy retrieval and audits.
  • Monitor renewal dates for vehicle licensing, insurance, permits, and other compliance items, proactively chasing updates to avoid lapses.
  • Collect, verify, and process driver timesheets and payroll-related inputs, resolving discrepancies before submission.
  • Update fleet management systems and transport databases with real-time information on vehicle status, assignments, and performance.
  • Track fines, traffic violations, and corrective actions, ensuring follow-up and resolution in line with company policy.
  • Prepare regular transport reports covering fleet utilisation, availability, compliance, and incident summaries for management review.
  • Support dispatch control by managing vehicle keys, GPS devices, fuel cards, mobile phones, and delivery documentation, while coordinating with customer service on delivery issues.

Requirements & Qualifications

  • Diploma or degree in Logistics, Supply Chain Management, or a related field; additional professional certifications in transport are a plus.
  • 2–5 years of hands-on experience in logistics, transport administration, or dispatch operations, ideally in a logistics or fleet-based environment.
  • Demonstrated ability to coordinate daily transport activities, maintain driver and vehicle records, and track compliance renewals.
  • Working knowledge of transport management systems (TMS), fleet databases, and standard reporting tools.
  • Familiarity with Kenyan road transport regulations, including licensing, axle-load, and weighbridge compliance requirements.
  • Strong written and spoken communication skills, with the ability to liaise clearly with drivers, customers, and internal teams.
  • High attention to detail, good organisational skills, and the ability to spot and escalate discrepancies quickly.
