Role Overview
This role keeps the commercial engine of a Nairobi-based engineering supplier running smoothly. You will handle CRM lead routing, sales reporting, field-team logistics, and administrative coordination so that factories, institutions, and contractors receive timely follow-up on pumping systems, power transmission products, and industrial equipment. Because the sales team depends on clean data and reliable handoffs, your work directly supports pipeline visibility, campaign tracking, and cross-departmental service delivery.
Key Responsibilities
- Search CRM and other business data to identify prospective clients, then allocate new inbound leads to sales representatives according to account, territory, or product focus.
- Perform regular CRM quality checks, compliance audits, and SLA monitoring to keep response times and records dependable.
- Pull together, track, and reconcile sales reports, adding qualitative context on campaign progress and highlighting discrepancies for the sales management team.
- Schedule internal and external meetings for sales leaders, and organise travel, accommodation, and itineraries for field representatives attending customer visits, sales clinics, and trade exhibitions.
- Prepare formal client correspondence and coordinate the exchange of legal documentation on behalf of sales team members.
- Cross-train in front-office, invoicing, and dispatch duties so you can step in during staff absences and maintain continuity.
- Conduct preliminary reviews of quotation discounts and suggest continuous improvements to sales workflows and administrative processes.
- Act as an administrative bridge between sales and finance, marketing, and warehouse logistics; help plan and set up commercial events and trade shows; and support the onboarding and mentoring of junior sales administrative staff when needed.
Requirements & Qualifications
- Diploma or bachelor’s degree in business administration, sales, marketing, or a related discipline.
- Experience in a sales support, customer service, or administrative role; exposure to engineering, manufacturing, or a technical environment is a distinct advantage.
- Working knowledge of CRM or ERP systems and comfort with Microsoft Excel, Word, and PowerPoint.
- Excellent time management, multitasking, and workflow tracking skills, especially under tight deadlines.
- Meticulous attention to detail when handling sales figures, record-keeping, and database management.
- Clear verbal and written business communication, with a professional approach to confidentiality.
