Position Title: Procurement / Supply Chain Clerk

Direct Line Reporting: Supply Chain Manager

Industry Sector: Manufacturing & Distribution

Gross Salary Structure: Kshs. 25,000

Role Overview

We are seeking a highly organized and methodical Procurement / Supply Chain Clerk to support our logistical and inventory operations. Your primary objective is to maintain the seamless flow of materials by coordinating with suppliers, executing purchase requests, and managing inventory tracking within our busy manufacturing setup. This position bridges administrative purchasing with physical store management; you will oversee materials from initial price quoting and order placement through to delivery verification and regular stock audits. The role calls for a meticulous professional who understands inventory accuracy and can operate efficiently under minimal supervision to keep our supply chain optimized.

Key Areas of Responsibility

Sourcing & Purchasing Operations

  • Source competitive quotations from approved vendors, analyze pricing, and prepare accurate purchase orders.

  • Systematically track outstanding orders and follow up with suppliers to ensure the timely delivery of items.

  • Create, update, and organize detailed procurement files, contract documents, and digital purchasing databases.

Inventory Control & Warehousing

  • Monitor ongoing stock counts across categories to assist the business in maintaining optimal inventory balances.

  • Receive, physically inspect, and log all incoming goods and raw materials against delivery notes to confirm quality and quantity.

  • Conduct routine physical stock counts and systematically reconcile warehouse balances with system records to eliminate variances.

Supplier & Logistics Tracking

  • Maintain open channels of communication with suppliers regarding production updates, pricing structures, and shipping schedules.

  • Track transit lines to ensure all acquired materials arrive safely within agreed company turnaround times.

  • Investigate and swiftly resolve delivery shortages, damaged items, or logistics discrepancies with vendors.

Data Compilation & Procedural Compliance

  • Draft comprehensive inventory summaries, purchasing trackers, and utility reports for leadership evaluation.

  • Ensure all localized purchasing and store workflows strictly conform to internal company policies and ethical guidelines.

  • Organize and present inventory sheets, receipt ledgers, and sourcing logs to support internal and external audit teams.

Skills & Experience Required

Minimum Criteria

  • Education: Diploma or Bachelor’s degree in Procurement, Supply Chain Management, Logistics, or a related business discipline.

  • Experience: Minimum of 2 years of active experience handling core procurement tasks, warehouse administration, or supply chain logistics.

  • Software Toolkit: Highly proficient with Microsoft Office applications (particularly Excel) and familiar with automated inventory management systems.

Core Competencies

  • Logistical Insight: Solid grasp of commercial purchasing procedures, storekeeping practices, and basic vendor evaluation methods.

  • Precision & Focus: High level of accuracy and sharpness when verifying financial records, numbers, and physical product condition.

  • Negotiation & Multitasking: Strong communication skills to secure favorable terms alongside the ability to juggle multiple supplier timelines simultaneously.
