Role Overview
This is a hands-on plant administration role that sits at the junction of dispatch, finance, logistics and compliance. Day to day, you will keep product movements documented and reconciled, make sure drivers are paid the right trip allowances and fuel allocations, manage petty cash and monthly balance sheet reconciliations, and stay on top of statutory deadlines for the site. The position matters because the plant's ability to invoice accurately, control fuel and logistics costs, and remain audit-ready depends on the discipline and accuracy of the administrative records you own.
Key Responsibilities
- Coordinate product dispatch from the plant — allocating trucks and drivers, confirming that all required paperwork is available, and completing delivery notes, weighbridge tickets, consignment documents and related dispatch records accurately and on time.
- Record product movements in the ERP system so that sales invoicing and inventory control are supported by current, reliable data.
- Process daily driver trip allowances in line with approved routes and distances, manage fuel allocation requests, reconcile fuel consumed against trips completed, and flag unusual or excessive consumption for investigation.
- Prepare regular dispatch and mileage reports, reconcile them against source systems, resolve or escalate variances, and maintain truck fuelling, mileage and trip records that stand up to audit.
- Handle financial administration for the plant, including monthly reconciliations of balance sheet schedules, petty cash disbursements, cash counts, imprest replenishment, and preparation of payment requests for Head Office approval in consultation with the Chief Accountant and Plant Manager.
- Keep the plant compliant with statutory and regulatory obligations by tracking deadlines, maintaining permits, medical reports and supporting documentation, and liaising with the Compliance function and external regulators.
- Run site administration and supervise general, casual and outsourced staff working on housekeeping and maintenance, manage the plant leave calendar, and keep correspondence between the plant and Head Office moving to agreed timelines.
- Work closely with Finance and Logistics colleagues to close out discrepancies and support ongoing cost-control efforts across dispatch and fuel spend.
Requirements & Qualifications
- Degree or Diploma in Business Administration, Accounting, Finance, Logistics or a related discipline.
- CPA certification is mandatory for this role.
- At least 3 years of accounting experience, ideally gained in a manufacturing setting.
- Demonstrated experience in dispatch coordination, driver allowance processing, fuel administration and logistics administration.
- Hands-on use of SAP or a comparable ERP system is an advantage; familiarity with dispatch and accounting platforms such as Soradius is a further plus.
- Solid grounding in financial reconciliations, petty cash and imprest management, documentation control and management reporting.
- Strong numerical and analytical ability with an eye for spotting and resolving discrepancies.
- Excellent attention to detail, organisational and record-keeping skills, and the ability to juggle several operational and administrative workstreams at once.
- Confident communicator who can manage relationships with internal stakeholders, regulators and Head Office.
- High integrity and accountability, with a clear understanding of what audit-ready documentation and compliance actually require.
- Proven ability to supervise and coordinate support staff.
