Description:
Zoya Developments is seeking a highly organized and professional Personal Secretary to support the Chief Sales Officer (CSO). The ideal candidate will have strong administrative expertise, excellent communication skills, and proven experience supporting senior-level executives within a fast-paced real estate development environment.
The successful candidate will manage executive schedules, coordinate meetings, handle confidential business information, and provide comprehensive administrative support to ensure smooth sales operations. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
Key Responsibilities:
• Manage the Chief Sales Officer’s calendar, appointments, meetings, and travel arrangements.
• Prepare, draft, and maintain professional correspondence, reports, presentations, and meeting minutes.
• Coordinate meetings with clients, sales teams, management, and external stakeholders.
• Screen and manage phone calls, emails, and communications on behalf of the CSO.
• Maintain confidential files, contracts, sales reports, and important business documents.
• Follow up on assigned tasks and ensure timely completion of action items.
• Prepare weekly and monthly sales performance reports.
• Coordinate with internal departments to support sales activities and operations.
• Organize business meetings, conferences, and company events.
• Monitor incoming and outgoing correspondence while maintaining proper documentation.
• Provide daily administrative support and handle additional duties assigned by the Chief Sales Officer.
Requirements:
• Bachelor’s Degree in Business Administration, Management, or a related field.
• Minimum 2–5 years of experience as a Personal Secretary, Executive Secretary, or Executive Assistant within a real estate development company.
• Proven experience supporting C-level executives or senior management.
• Excellent verbal and written communication skills in English; Arabic language skills will be an advantage.
• Strong organizational, multitasking, and time management abilities.
• Ability to handle confidential information with professionalism and discretion.
• Strong interpersonal skills with the ability to work effectively in a fast-paced environment.
• Strong knowledge of:
• Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
• Executive administration and calendar management
• Business correspondence, reporting, and document management
